Key Responsibilities

  • Office Management: Manage and maintain office policies and procedures. This includes ordering office supplies, organizing office maintenance and repairs, and ensuring the cleanliness and order of the reception area, conference rooms, and common spaces.
  • Correspondence and Documentation: Write and distribute emails, memos, letters, and forms. Assist in preparing regularly scheduled reports and presentations. Maintain an organized filing system for both hard copy and electronic documents, and handle document control procedures.
  • Scheduling and Travel: Manage and maintain calendars for senior staff. This includes scheduling meetings and coordinating complex travel arrangements, including booking flights and accommodations.
  • Communication: Act as the primary point of contact for both internal and external clients. Greet and host visitors with courtesy and professionalism. Deliver oral and written messages and handle incoming and outgoing calls, faxes, and mail.
  • Financial and Administrative Support: Prepare and submit expense reports, process vendor invoices in coordination with the Finance Department, and maintain various registers and logs.
  • Team Support: Provide general administrative support to senior management and their teams, including assisting with meeting planning and other miscellaneous projects as needed.
