Position Summary Information

Job Description Summary
The purpose of this position is to provide administrative support to assist management with all administrative and department projects. This is accomplished by maintaining records of work performed and scheduling and supervising student workers. Other duties include performing routine clerical tasks and support activities.

Minimum Qualifications
Associate’s degree and one (1) year administrative support related experience.

OR

Three (3) years administrative support related experience.

Required Job Knowledge, Skills, Abilities
Ability to obtain and maintain a Texas Notary Public Certificate.

Proficient with Microsoft Office Word, Excel, Outlook, and PowerPoint.

Familiar with SIS (Student Information System), Canvas, Canva and all social media platforms.

Ability to work professionally with nontraditional and various populations.

Excellent customer service skills and strong written and verbal communication skills.

Provide customer service.

Answer phones, take messages, refer callers and visitors.

Communicate effectively and courteously with students and faculty in person, writing, or by phone.

Maintain a working knowledge of all the campuses, including directions to each campus or a specific building or location on either campus.

Remain alert and responsive to inquiries and needs.

Monitor both visually and audibly to ensure the safety of guests.

Manage safety concerns brought to attention by any Del Mar College student, student employee, or faculty.

Promote information about Del Mar College, its academic and non-academic functions, and the community in general.

Actively engage in student involvement and campus life by recruiting and inviting Del Mar College students and faculty with enthusiasm, compassion, and hospitality.

Job Duty
Receive and distribute mail.

Enter data.

Maintain files and documents.

Monitor inventory of supplies and equipment.

Submit work orders from all departments to Physical Facilities for any maintenance, carpentry and paint requests for the Harvin Center Building.

Order equipment and office supplies.

Assemble and disassemble game equipment properly and ensure appropriate care and storage.

Take inventory and ensure all gaming and activity equipment is stored and cared for in a proper manner on a daily basis.

Obtain City and Health permits.

Job Duty
Maintain calendars and appointments.

Record and maintain a calendar or schedule of all approved club activities.

Assist the Director with student employee scheduling.

Train Student Activity employees.

Assist the Director with employee meetings and/or workshops.

Submit Independent Contract Agreements.

In charge of building during emergencies and fire alarms, including evacuations.

Job Duty
Assist with all club officer meetings and/or workshops.

Assist Registered Student Organizations with any function.

Assist and organize Registered Student Organizations.

Maintain a working knowledge of all club forms and documents, along with the policies and procedures of student travel and club accounts.

Manage and maintain club paperwork.

Organize and coordinate the Registered Student Organization Luncheons and Award Luncheons.

Job Duty
Monitor all student activities.

Help coordinate regularly scheduled activities or special events such as the New Student Orientation, Annual Spring Break Bash, Annual Fall Carnival and Student Recognition.

Work with staff, ensuring event(s) are successful.

Assist with Small Business Internship program.

Assist with the National Society of Leadership and Success.

Coordinate on-line SGA elections.

Job Duty
Serve as a notary public and notarize various documents such as meningitis affidavit, transcripts from other schools, police academy applications, state of separation for financial aid, ERS beneficiary forms, residency (state), housing, food stamps, child care, employment verification, release of lease, etc.

Job Duty
Assist with cash handling duties for various areas such as petty cash, campus events, clubs/organizations and Fall Carnival.

Job Duty
Manage the lost and found inventory for the entire campus.

Job Duty
Other duties as assigned.
