Title: Human Resources Assistant
Reports To: Director of Human Resources
Summary:
The Human Resources Assistant provides administrative and operational support to the Human Resources department with a strong focus on compliance, reporting, benefits administration, employee records, training coordination, and confidentiality. This role is responsible for maintaining accurate HR documentation, supporting audits, coordinating employee training, onboarding and assisting with benefits administration while ensuring adherence to federal, state, and Company policies.
Responsibilities
- Prepare, maintain, and distribute HR reports as required (daily, monthly, quarterly, and annual).
- Support monthly HR postings and required internal communications.
- Maintain accurate and up-to-date employee personnel files in compliance with federal and state regulations.
- Assist with HR audits on a monthly, quarterly, and annual basis and any other tasks assigned by management.
- Attendance Tracking & Daily Check-Ins
- Review and Follow-up on daily employee attendance check-ins for all locations,
timekeeping records.
- Identify discrepancies and report issues to appropriate manager.
- Maintain attendance documentation in accordance with company policy and labor laws.
Compliance & Regulatory Support reconciliation.
Share medical/dental invoices with payroll manager for reconciliation with ADP.
Training & Development Support
Benefits Administration
- Ensure all required Federal and State labor law posters are current and properly displayed (physical and electronically posted in appropriate systems).
- Assist with internal compliance reviews and documentation.
- Support medical and dental audits, including data preparation and invoice monthly
- Audit ADP entries for accuracy from payroll manager report discrepancies to payroll manager for correction
- Audit ADP postings, policies and procedures to ensure revisions are updated and accurate to include, time off policies, Quick Links, etc. work with payroll manager prior to making any changes
- Coordinate and track employee training programs, including HR training.
- Maintain training records, completion logs, and compliance documentation.
- Assist in preparing training materials and updating training documentation as required.
- Assist with open enrollment planning meetings and participate in facilitating meetings and document collections.
- Support employee communications related to benefits changes, enrollment, and deadlines.
- Assist with ongoing benefits audits and documentation for medical and dental plans.
- New Hire & Onboarding Support
- Prepare and maintain New Hire Orientation documents.
- Assist with onboarding processes, including New Hire Orientation document collection and orientation scheduling.
- Ensure new hire paperwork is completed accurately and on time.
- Scan new hire paperwork for review and prior to sending to corporate office for retention
- Complete E-Verify I-9 process and follow-up as needed
- Confidentiality & Data Protection
- Handle sensitive employee information with the highest level of confidentiality.
- Ensure compliance with data privacy standards and internal confidentiality policies.
- Limit access to confidential records to authorized personnel only.
- Qualifications
- Education & Experience
- Minimum of Associates degree in Human Resources, Business Administration or
- equivalent HR experience maybe considered.
- Minimum of 1–3 years of administrative or HR support experience required preferred.
- Experience with benefits administration, training platforms, ADP payroll, and
compliance documentation is a plus.Skills & Competencies
- Strong attention to detail and organizational skills.
- Ability to manage multiple deadlines and priorities.
- Proficiency in Microsoft Office Suite (to include Excel, Word, Outlook, PowerPoint), and document management.
- Knowledge of basic employment laws and HR compliance requirements.
- Excellent written and verbal communication skills.
- Ability to exercise sound judgment and discretion.
Pay: $26.44 per hour
