HR & PAYROLL ASSOCIATE

The HR & Payroll Department supports the organization’s multi-state pharmacy workforce through full-cycle onboarding, payroll administration, benefits and leave management, HR compliance, and employee relations. This role ensures accurate payroll across numerous states, maintains all HR records, resolves employee issues, and contributes to company culture and performance processes.

Responsibilities

Recruitment & Onboarding

· Complete full onboarding for all new hires.

o interviews, prepare and issue offer letters, employment agreements, and onboarding packets.

o Conduct background checks. (when needed)

o Set up employees in time clock systems, payroll platforms

o Ensure all required forms are completed and filed.

o Maintain accurate and organized employee personnel files.

Payroll Administration

· Process biweekly payroll for employees using different online Payroll processing platforms.

o Enter bonuses, commissions, reimbursements, and payroll adjustments.

o Review and correct time clock data, including missed punches and scheduling errors.

· Ensure compliance with payroll laws and tax requirements.

· Maintain PTO accruals and correct balances across all systems.

· Troubleshoot payroll issues and provide timely resolutions to employees.

· Maintain strict confidentiality and accuracy of sensitive payroll data.

Benefits & Leave Management

· Coordinate directly with health insurance carriers for additions, terminations, and changes.

· Assist with annual open enrollment, employee communication, and system updates.

· Track all LOA documents including doctor notes, certifications, and return-to-work forms.

· Communicate directly with employees regarding leave statuses, requirements, and approvals.

Employee Relations

· Serve as a primary point of contact for employee payroll, benefits, policy, and HR questions.

· Provide strong communication and timely follow-up to employees and managers.

· Support onboarding, benefits, compliance, and workplace environment inquiries.

· Troubleshoot system access issues and help employees resolve login problems.

HR Compliance & Legal Support

· Maintain compliant employee records according to labor laws.

· Assist in developing, updating, and distributing policies, procedures, and handbooks.

· Support disciplinary documentation and ensure accurate filing.

· Assist with terminations and or exit checklists

· Support mandatory training programs (harassment prevention, HR compliance, etc.).

HR Data, Tracking & Reporting

· Maintain extensive HR spreadsheets and Excel trackers for onboarding, payroll, benefits, and compliance.

· Perform regular data cleaning, accuracy checks, and information updates.

· Assist in preparing HR reports such as headcount, new hire metrics, and compliance summaries.

· Support leadership with data as needed.

Cross-Functional Support

· Support the Compliance department with yearly compliance audits, reports, and employee documentation needs.

· Partner with Operations and other departments as needed for HR-related tasks and workforce coordination.

· Assist leadership with internal communications related to HR, payroll, benefits, and policy updates.

Culture, Engagement & Performance

· Assist in planning and executing monthly employee relations events and engagement activities.

· Support performance management cycles, including mid-year and annual reviews.

· Help coordinate communication, reminders, documentation, and system tracking for performance evaluations.

Skills & Qualifications

· Knowledge of HR processes, onboarding, and multi-state payroll

· Strong Excel skills (tracking, data entry, data cleanup)

· Excellent communication and customer service skills

· Strong attention to detail, accuracy, and compliance

· Ability to multitask and manage deadlines in a fast-paced environment

· Ability to troubleshoot system access issues and support employees

· Strong organizational and recordkeeping skills

· 2–4+ years of HR, payroll, or HR operations experience

· Experience handling benefits, leaves, and onboarding documentation

· HR certification (PHR/SHRM) a plus, not required

Job Type: Full-time

Pay: Rs70,000.00 - Rs80,000.00 per month
