We assist with:

  • Securing healthcare services (medical home, dental care, wellness programs)
  • Linkages to mental health and substance abuse support
  • Guidance with benefits enrollment (health insurance, income support)
  • On-site counseling, therapy, support groups, and assistance with emotional well-being and relationship challenges
  • Life skills development to foster independence
  • Community reintegration through social activities and connections
  • Transportation and accompaniment services
  • Additional support to achieve long-term housing stability

These services are crucial in promoting the well-being, empowerment, and resilience of our participants—strengthening the broader community in the process.

JOB SUMMARY

The Administrative Assistant supports the daily operations of the interim housing program by maintaining accurate records, managing client services logistics, and ensuring smooth communication across internal teams and external partners. This role is vital to ensuring data integrity, program efficiency, and quality participant care.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administrative Operations

  • Perform standard office duties including filing, copying, printing, and supply inventory management
  • Independently maintain electronic and physical client files, ensuring organization, accuracy, and confidentiality
  • Conduct regular file audits to verify compliance with recordkeeping standards
  • Submit the daily census report in alignment with program expectations and funder requirements
  • Schedule and confirm participant transportation and service appointments
  • Coordinate intake processes and ensure timely documentation for new program participants
  • Assist in linking participants to external services and resources to support housing stability
  • Prepare, reconcile, and submit program data for reporting purposes
  • Follow up on missing documentation according to established program guidelines
  • Draft memos, reports, and other confidential materials to support clinical staff and the Program Manager
  • Identify operational challenges and escalate concerns to the Program Manager as needed
  • Assist in planning and executing special projects assigned by the Program Manager
  • Maintain professional relationships with external stakeholders, including Office of Diversion & Reentry (ODR),, LA County Probation Department, attorneys, and service providers
  • Support the management team in collaborative planning and task execution
  • Disseminate program data to external partners as instructed
  • Perform additional responsibilities as assigned to support program goals and enhance service delivery

SKILLS AND QUALIFICATIONS:

  • Minimum two years’ related experience
  • High school diploma or equivalent
  • Detail oriented with good time management, organization, written/verbal, and interpersonal skills
  • Able to maintain confidentiality
