Administrative Associate 2 (Hybrid Opportunity)

The Division of Computational Medicine in the Stanford Department of Medicine is advancing the future of health through data science, biomedical informatics, and interdisciplinary research. We are seeking a motivated, detail-oriented, and service-driven Administrative Associate 2 to join our collaborative administrative team. About the Role

Reporting to the Administrative Division Director, the Administrative Associate 2 provides comprehensive administrative and operational support to multiple faculty members with active research, teaching, and leadership portfolios.

This is a highly visible role that offers exposure to faculty leadership, research administration, academic programming, and financial processes — making it an excellent opportunity for someone looking to build a strong foundation for career advancement within higher education administration.

What You’ll Do

  • Partner with faculty to manage complex calendars, coordinate meetings, and anticipate scheduling needs.
  • Coordinate domestic and international travel and process reimbursements in compliance with university and sponsor policies.
  • Serve as a key point of contact for faculty, postdocs, students, and collaborators.
  • Support postdoctoral lifecycle activities, including onboarding coordination and administrative updates.
  • Assist with planning and executing the division’s weekly Colloquium Series and academic events.
  • Draft professional communications and prepare meeting materials and presentations.
  • Process financial transactions (PCard/TCard, reimbursements, vendor payments) with accuracy and attention to compliance.
  • Maintain organized documentation and apply university policies in daily administrative operations.
  • Contribute to process improvements that enhance efficiency and service delivery across the division.

EDUCATION & EXPERIENCE (REQUIRED):

  • High school diploma and three years of administrative experience, or combination of education and relevant experience.

KNOWLEDGE, SKILLS AND ABILITIES (REQUIRED):

  • Proficient computer skills and demonstrated experience with office software and email applications.
  • Demonstrated success in following through and completing routine tasks.
  • Strong organizational skills and attention to detail.
  • Strong verbal and written communication skills.
  • Excellent customer service and interpersonal skills.
  • Ability to prioritize and multi-task.

PHYSICAL REQUIREMENTS:

  • Constantly perform desk-based computer tasks.
  • Frequently sitting.
  • Occasionally stand/walk, reach/work above shoulders, grasp lightly/fine manipulation, grasp forcefully, use a telephone, sort/file paperwork or parts, lift/carry/push/pull objects that weigh up to 10 pounds.
  • Rarely twist/bend/stoop/squat, kneel/crawl.

The expected pay range for this position is $31.97 to $38.40 per hour.
