Administrative Manager

Job Responsibility:
  • Plan and schedule meetings and appointments for the Head of Business Banking to ensure balance in time spent.
  • Make all necessary arrangements for holding of department's meetings/conferences and other events in a time and cost effective way.
  • Make travel arrangements, including booking itineraries/venues/hotels in a most time and cost effective way.
  • Provide a complete executive secretarial service (including drafting, finalizing replies etc.) to ensure that matters are dealt with appropriately and in a confidential manner.
  • Manage the office of the Head of Business Banking (involving guiding visitors/callers, office décor, hospitality for VIPs etc.) to maintain and uphold the organizational image.
  • Establish and maintain records and filing systems, replenish stationery and office supplies, office upkeep and arrange for the operation of equipment to ensure efficient and effective functioning of the department.
  • Handling of Staff issues such as on boarding and new joiners related issues in coordination with HR.
  • Identify and deal with, on behalf of the Head, delegated problems and issues that arise to facilitate smooth running and continuity of business.
  • Deal effectively with internal and external interfaces (often involving top/senior people) to ensure proper follow-up, co-ordination and customer friendly image.
  • Handle internal / external co-ordination with people in order to deal with standard problems and escalate others while ensuring customer friendly image.
  • Collect and provide business and management reports/information in a timely way to facilitate management review and decision making.
  • Prepare appropriate reports, returns, meetings minutes, and presentations in order to ensure most effective use of manager's time.
  • Review effectiveness of the departmental / administrative procedures / practices in order to recommend and implement improvements where need is identified.
Job Skills & Qualifications:
  • Bachelor Graduate
  • At least 2 - 4 years of relevant experience in similar job
