Administrative & Operations Coordinator

Job Overview
We are seeking an organized Administrative & Operations Coordinator to join our team! The position is in-person with flexible part-time hours between 9-4pm M-F. Person will ensure the smooth and efficient functioning of daily office operations, providing exceptional administrative support in a small nonprofit office. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to foster a productive work environment. Thier energy and enthusiasm will help drive our organization forward, ensuring all administrative tasks are handled with precision and professionalism.

Duties

  • Manage front desk responsibilities, greeting visitors and directing phone calls using multi-line phone systems with professionalism and courtesy
  • Oversee office management tasks including filing, data entry, calendar management, and maintaining office supplies
  • Provide exceptional customer service by supporting donors, fund holders, board and team members via phone, email, or in person
  • Utilize software tools such as Microsoft Office, and other computer applications to prepare reports, proofread documents, and perform data entry
  • Coordinate appointments, meetings, and events by managing calendars efficiently and ensuring all logistical details are handled seamlessly
  • Support clerical duties such as proofreading documents, organizing files, and maintaining accurate records

Skills

  • High level of attention to detail and confidentiality.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent organizational skills with the ability to multitask effectively in a small office environment
  • Proven experience in office management or administrative roles with a focus on clerical support and customer service
  • Exceptional phone etiquette skills with experience and providing high level client support.
  • Ability to work independently and collaboratively in a small team
  • Adobe Creative Suite or similar design experience (not required but a plus)
  • Marketing background (a plus)

Job Type: Part-time

Pay: $20.00 - $23.00 per hour
