Position Overview:

We are seeking a highly organized, dynamic, and dedicated Administrative & Personal Assistant to provide direct support to our owners. The ideal candidate will be a proactive problem solver, an excellent communicator, and adept at managing both administrative tasks and high-level projects. This role is essential to ensure efficient and smooth day-to-day operations for our owners and their initiatives.

Key Responsibilities:

  • Personal Support: Provide attentive and dependable assistance to company owners in managing personal affairs and related responsibilities as needed.
  • Calendar Management: Coordinate and manage the owners' daily schedules, ensuring they are well-prepared for meetings, engagements, and events.
  • Communication: Act as the primary point of contact for the owners, handling correspondence, emails, phone calls, and inquiries with discretion and professionalism.
  • Document Preparation: Draft, review, and edit documents, reports, presentations, and correspondence on behalf of the owners.
  • Meeting Coordination: Schedule, coordinate, and prepare materials for meetings, conferences, and events. This includes securing venues, sending out invitations, preparing agendas, and taking minutes.
  • Special Projects: Assist with or lead special projects as assigned by the owners, ensuring timely completion and adherence to quality standards.
  • Confidentiality: Handle sensitive information with the highest degree of integrity and confidentiality.
  • Liaison: Serve as a liaison between the owners and internal departments as well as external partners.
  • Administrative Duties: Manage expenses, perform data entry, order office supplies, and undertake any other administrative tasks required.

Qualifications:

  • Bachelor's degree or equivalent experience in a related field.
  • Minimum of 3-5 years of executive support experience, preferably in the hospitality industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
  • Excellent organizational skills with an ability to prioritize and multitask.
  • Strong verbal and written communication skills.
  • Ability to work in a fast-paced environment and adapt to rapid change.
  • Discretion and confidentiality are a must.

Job Type: Full-time

Pay: $40,000.00 - $45,000.00 per year
