Position Overview

Join the Planning & Inspections Department as an Administrative Professional, where you will play a key role in supporting the department’s daily operations and ensuring efficient coordination among staff, leadership, and the public. This position serves as an essential administrative resource, helping maintain organized processes, facilitating communication, and supporting internal operations that allow the department to effectively deliver services to the community. The ideal candidate is detail-oriented, highly organized, and comfortable managing multiple priorities while providing professional support in a collaborative, fast-paced environment. Examples of Duties

  • Provides administrative and clerical support to ensure efficient departmental operations, including answering and directing phone calls, providing general information, and referring inquiries to appropriate internal or external resources.
  • Prepares correspondence, receives and distributes mail, and assists with routine data collection and reporting for departmental projects.
  • Collaborates with administrative staff to complete departmental administrative functions and provides backup support to other divisions during vacancies or increased workload.
  • Assists with preparation for Board meetings, including compiling agendas, notices, and minutes, and may provide clerical support during scheduled evening meetings.
  • Coordinates departmental onboarding and offboarding processes and submits personnel action requests through designated software systems.
  • Serves as a liaison with Human Resources, management, and staff to coordinate personnel-related matters, including mileage reimbursements, vendor payments, and vendor setup or updates.
  • Maintains departmental personnel files and verifies employee timesheets, entering time into county software and coordinating with Payroll or Finance on discrepancies or special leave circumstances.
  • Maintains supply inventories and coordinates print requests, legal advertisements, and supply orders with supervisory approval.
  • Serves as the departmental contact for public records requests, coordinates conference room and hearing room scheduling, and prepares work orders or help desk tickets for facility or building needs.

Minimum Qualifications

Graduation from an accredited two-year college or technical school with a degree in business administration or the assigned area and two (2) years of experience in office administration or the assigned area; or an equivalent combination of education and experience.

Knowledge, Skills and Abilities

  • Knowledge of office practices and procedures
  • Knowledge of office software and applications to the administrative environment
  • Knowledge of accounting methodologies, accounts payable and receivable and payroll procedures in County government operations
  • Knowledge of the County’s personnel policies and procedures
  • Knowledge of a wide variety of administrative policies, procedures, and laws in support duties and tasks
  • Ability to provide support to other support or program staff
  • Ability to set work priorities and organize duties and tasks; ability to gather and give information on departmental programs based on inquiries
  • Ability to analyze processes, procedures, and policies and formulate recommendations
  • Ability to communicate effectively
  • Ability to be tactful and courteous
  • Ability to formulate recommendations in precedent setting situations
  • Ability to formulate, monitor, and present budget recommendations
  • Ability to establish and maintain effective working relationships
