Administrative Support Specialist


Position Summary


We are seeking an organized and detail-oriented Administrative Support Specialist to join a collaborative assistant team. This role provides high-level administrative and operational support in a fast-paced, professional environment, working closely with internal teams and business leaders. The ideal candidate is proactive, discreet, and comfortable managing multiple priorities across time zones.


Key Responsibilities


Provide day-to-day administrative support in a team-based environment, with flexibility to assist various teams as needed


Coordinate domestic and international travel arrangements


Process a high volume of expense reports and invoices accurately and in a timely manner


Schedule and organize internal and client meetings, including room reservations, catering coordination, guest registration, and material preparation


Manage complex calendars across multiple time zones, prioritizing meeting requests and coordinating phone and video conferences


Perform general administrative tasks such as invoice submission, time entry, filing, scanning, archiving, mailing, and ad hoc projects


Answer incoming phone calls and relay detailed, accurate messages while interacting professionally with senior leaders and clients


Handle highly confidential and sensitive information with discretion and professionalism


Act as an integral member of the assistant team by staying aligned with current priorities and support needs


Ensure adherence to compliance requirements and obtain necessary approvals


Required Qualifications


Demonstrated ability to exercise sound judgment and discretion with confidential information


Strong interpersonal and communication skills (written and verbal)


Ability to remain calm under pressure while managing multiple priorities


Highly organized with exceptional attention to detail


Proactive self-starter with strong problem-solving and follow-up skills


Comfortable providing remote support to leaders and teams in different locations


High level of integrity, professionalism, and diplomacy


Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Zoom


Experience with expense management platforms such as SAP Concur


Team-oriented mindset with a positive, collaborative attitude

Location: Onsite – Cohoes, NY


Employment Type: 6-month contract - Can be extended or become permanent


Compensation


Pay Range: $22.00-$26.00 / hour
