Work Schedule
Flexible hours; prefer 4 days/week with two days starting at 8:00am or staying until 5:00pm.

Primary Purpose of Position
The primary purpose of this position is to manage all departmental purchases and travel for the Career Center. This position will serve as the department expert to execute all department purchases via 49erMart, P-card, order from Chartwells/Compass, and handle all travel reservations and payments. Additionally, this position serves as the primary backup for the daily eCommerce Credit Card deposits; reconciles P-Card expenses via Concur; is responsible for vendor set-up and staff reimbursements via esDPR; vendor refunds via eCR; maintains and orders office supplies; assists with all career fairs and files.

This position will also enter student Niner Works hiring forms for the Career Center’s Gig Intern program and SECU summer intern program.

Minimum Education/Experience
Required Minimum Qualifications:

Graduation from high school and one year of related office experience; or an equivalent combination of education and experience.

Essential Job Duties
  • Makes travel arrangements and payments, as well as completes travel authorization /reimbursement forms
  • Provides support to all career center teams handling all department purchases via 49erMart, pcard and ordering from Chartwells/Compass, as well as reconciling all P-Card purchases
  • Enters student hiring forms through Niner Works for the Gig Intern Program and SECU Summer Intern Program
  • Primary backup for the daily eCommerce Credit Card Deposit

Other Work Responsibilities
  • Attends/Assists at all Career Fairs
  • Assist in the maintenance and ordering of office supplies and files
  • Handles new vendor set up and refunds
  • Other tasks as requested

Departmental Preferred Experience, Skills, Training/Education
  • Experience supporting teams administratively and with strong customer service skills is preferred.
  • Experience managing end-to-end travel logistics, including authorizations, complex arrangements, and timely reimbursement processing
  • Experience in 49erMart (or similar e-procurement systems) and hands-on experience with P-Card purchase reconciliation.
  • Prior experience coordinating catering or event services through Chartwells/Compass Group.
