Position Title: Administrative & HR Coordinator
Location: Heliopolis, Cairo (Obour Buildings – Salah Salem Road)

Position Summary

Regency Gate S.A.E, an Authorized Distributor of WILO in Egypt, iscurrently seeking a detail-oriented and proactive Administrative & HR Coordinator to manage day-to-day administrative operations and support the human resources function. This position plays a vital role in ensuring operational efficiency, compliance, and effective internal communication.

We are looking for someone who takes ownership, values precision, and sees themselves as a long-term contributor to our success—not just a team member.

Key Responsibilities

Administrative Support:

  • Maintain organized employee records and structured filing systems.
  • Track daily attendance and monitor leave balances.
  • Manage internal communication logs, meeting minutes, and task assignments.
  • Ensure timely and accurate reporting across departments.
  • Coordinate procurement and inventory of office supplies and equipment.

HR Coordination:

  • Oversee onboarding and offboarding processes and ensure documentation completeness.
  • Assist with monthly payroll processing and compliance with social insurance regulations.
  • Maintain confidentiality and data accuracy across all HR activities.
  • Prepare HR reports related to attendance, performance, and employee documentation.

Internal Communication & Digital Administration:

  • Monitor company communication platforms (email, WhatsApp) and ensure timely responses.
  • Coordinate company internal notices and support staff inquiries.
  • Support internal branding and team visibility through LinkedIn and digital platforms.

Candidate Profile

Education & Experience:

  • Bachelor’s degree in Business Administration, Human Resources, or a related discipline.
  • 1 to 3 years of professional experience in a similar administrative or HR role.

Skills & Competencies:

  • Excellent organizational and time management skills.
  • Strong written and verbal communication in English.
  • Proficiency in Microsoft Office.
  • Attention to detail, confidentiality, and a high degree of professionalism.

Bonus Points

  • Familiarity with Odoo systems or ERP platforms.
  • Experience managing or supporting company social media accounts (LinkedIn, Facebook, etc.).
