Apartment Rental Coordinator

Position Summary
The Apartment Rental Coordinator is responsible for managing the end-to-end rental process for residential units at Ivy Nest Apartments LLC in Doha. This role ensures high occupancy rates, smooth tenant onboarding, excellent customer service, and efficient coordination between tenants, maintenance teams, and management.
Key Responsibilities
Leasing & Tenant Acquisition
- Handle inquiries from prospective tenants and provide detailed information about available apartments.
- Conduct property viewings and showcase unit features and amenities.
- Prepare and process lease agreements in accordance with company policies and Qatari rental regulations.
- Maintain accurate records of applications, leases, and tenant documentation.
Tenant Relations & Support
- Serve as the primary point of contact for tenants regarding rental issues, concerns, and requests.
- Ensure timely resolution of tenant complaints in coordination with maintenance and operations teams.
- Foster positive tenant relationships to support renewals and long-term occupancy.
Property Management Coordination
- Coordinate apartment readiness before move-in, including inspections and cleaning schedules.
- Liaise with maintenance staff to ensure timely repairs and upkeep of units.
- Monitor occupancy status and report vacancies to management.
Administrative Duties
- Maintain updated tenant databases and rental tracking systems.
- Process rental payments, deposits, renewals, and move-out settlements.
- Prepare regular reports on occupancy rates, rental income, and leasing activity.
Marketing Support
- Assist in listing available units on rental platforms and social media channels.
- Support promotional campaigns to attract new tenants.
- Gather market feedback to improve leasing strategies.
Qualifications & Skills
- Bachelor’s degree in Business Administration, Real Estate, or related field preferred.
- 1–3 years of experience in property management, real estate leasing, or customer service.
- Strong communication and negotiation skills.
- Excellent organizational and multitasking abilities.
- Proficiency in MS Office and property management software (if applicable).
- Knowledge of Qatar rental market practices is an advantage.
- Fluency in English required; Arabic is a plus.
