Assistant & Admin to General Manager (Full-Time | Onsite – Dubai)

We are looking for a motivated, highly organized Assistant & Admin to the General Manager to support day-to-day operations and contribute to the company’s continued growth and efficiency. This role requires strong coordination skills, independence, and the ability to manage multiple responsibilities across sales, administration, and internal operations.

Working Schedule

  • Full-time: 9:00 AM – 6:00 PM
  • Days off: Saturday & Sunday

Key Responsibilities1. Sales & CRM Support

  • Manage and update sales activities using CRM software
  • Contact customers directly or on behalf of the Sales Director
  • Follow up on incoming company emails and sales inquiries
  • Coordinate with international partners to ensure timely sales support

2. Executive & Administrative Support

  • Assist the General Manager with daily tasks, follow-ups, and priorities
  • Manage calendars, meetings, and reminders
  • Coordinate emails and internal communications
  • Support recruitment processes: interviews, contracts, onboarding & offboarding
  • Create, document, and improve internal workflows and processes

3. Accounting & Procurement Coordination

  • Liaise with the accountant to ensure records and documentation are up to date
  • Follow up with suppliers and manage procurement requests

4. HR & Internal Oversight

  • Monitor employee task progress and work deliverables
  • Track assignments and report performance updates
  • Maintain organized internal systems and structured company data

5. Marketing & Communication

  • Manage contact databases and prepare mailing lists
  • Support marketing campaigns via Email, WhatsApp, and LinkedIn
  • Assist in designing brochures, flyers, and marketing materials
  • Update website content and publish company news
  • Categorize leads and support LinkedIn content posting

Requirements

  • Experience with CRM systems
  • Fluent in English (French, Arabic or additional languages are a plus)
  • Strong multitasking, communication, and organizational skills
  • Ability to work independently and handle multiple priorities
  • High attention to detail and professionalism
