The Assistant Admin Manager (Head Office & Retail) is responsible for managing the day-to-day administrative operations of the Head Office and retail footwear & apparel stores. This role ensures adherence to policies, oversees facility maintenance, manages compliance, and streamlines administrative functions for smooth business operations.

Key Responsibilities:

Administrative Oversight:

  • Supervise and ensure efficient housekeeping, facility maintenance, and general administration at the Head Office and retail stores.
  • Implement and monitor adherence to company policies and standard operating procedures across all retail operations.
  • Manage office and store support personnel, including security, housekeeping, and maintenance teams.
  • Coordinate with vendors for facility management, lease renewals, and property maintenance to ensure smooth operations.

Compliance & Legal Management:

  • Ensure full compliance with labor laws, EOBI, Social Security, and all applicable statutory requirements for retail and administrative staff.
  • Monitor and oversee the timely renewal of business permits, certifications, and licenses for all retail locations.
  • Act as a liaison with legal authorities, supporting resolution of legal matters and coordinating with law enforcement when necessary.
  • Maintain comprehensive records of all compliance, regulatory, and legal documentation for audit and reference purposes.

Security Management

  • Assist in overseeing the implementation of security protocols across company premises, including retail outlets, warehouses, and corporate offices.
  • Monitor the performance and attendance of security guards, ensuring proper deployment as per company needs.
  • Coordinate with external security agencies for guard deployment and address any immediate security concerns.
  • Assist in maintaining records of security incidents and follow up on reported cases.

Weapon Licenses & Security Equipment Maintenance

  • Maintain records of weapon licenses and ensure timely renewals.
  • Oversee the maintenance and operational readiness of security equipment, such as CCTV cameras, alarms, and access control systems.
  • Conduct routine checks on security systems and report any issues for immediate resolution.

Administration (House & Retail )

  • Ensure regular civil maintenance, including furniture, fixtures, and electrical appliances.
  • Manage requisitions for all admin-related purchases on a monthly basis.
  • Monitor all utility bills and ensure their timely processing for payment.
  • Handle dealings with government departments for timely resolution of objections or observations
  • Monitoring of all utilities bills & their timely processing for the payments

Asset & Inventory Management

  • Maintain an updated and accurate inventory of all company-owned assets at the Head Office and retail locations.
  • Develop and implement preventive maintenance schedules to maximize asset longevity.
  • Establish security measures to prevent loss, theft, or misuse of company assets.
  • Conduct regular physical audits and inspections to verify asset integrity and compliance with operational standards.

Repair & Maintenance (Houses, Retail, Warehouse)

  • Coordinate and oversee repair and maintenance work for CEO residences, warehouses, and retail outlets.
  • Execute personal administrative directives as assigned by the CEO and Directors.
  • Monitor and control repair expenses while ensuring cost-efficiency in maintenance activities.
  • Negotiate with vendors and service providers to secure the best quality services at competitive rates.

Sites Visits

  • Conduct regular physical inspections at Royal Residencia, Bhobtian, Wapda Town, warehouses, and company-owned houses.
  • Identify and address security vulnerabilities, infrastructure concerns, and compliance gaps.
  • Ensure the availability and proper functioning of essential utilities and amenities at all designated locations.
  • Generate reports based on site evaluations, providing recommendations for improvements.

Qualifications & Skills:

  • Education: Master’s or Bachelor’s degree in Business Administration, Management, or a related field.
  • Experience: Minimum 5-7 years of experience in administration, facility management, and compliance
  • Excellent knowledge of regulatory compliance, labor laws, and EOBI/Social Security regulations.

· Proficiency in SAP B-1, MS Office and administrative software

Job Type: Full-time

Pay: Rs60,000.00 - Rs80,000.00 per month
