Assistant Manager Admin

Job Summary: The Assistant Manager Administration supports the Manager Administration in overseeing administrative tasks across all divisions, including the Head Office, Baranh Restaurant, retail footwear & apparel stores, warehouses, CEO houses, and Pole Plants. This role is critical in ensuring compliance with statutory regulations, managing facilities, supporting asset management, and coordinating with vendors to maintain operational efficiency and effectiveness.

Key Responsibilities:

1. Administrative Oversight:

· Assist in managing daily administrative operations across all company divisions.

· Ensure the implementation of policies and procedures under the guidance of the Manager Administration.

· Supervise housekeeping, maintenance, and general upkeep of facilities to ensure safety and efficiency.

· Support the development and execution of preventive maintenance schedules.

2. Compliance and Legal Management:

· Assist in monitoring compliance with EOBI, Social Security, labor laws, and internal company policies.

· Ensure timely renewal of certifications, permits, and regulatory compliance for assigned facilities.

· Maintain records related to compliance and support in resolving disputes with regulatory bodies.

· Coordinate with legal teams and law enforcement agencies as required.

3. Asset and Inventory Management:

· Maintain accurate inventory records for company assets, ensuring compliance with registration and licensing requirements.

· Coordinate timely repairs and maintenance of assets.

· Monitor and implement security measures for asset protection.

· Conduct regular inspections and report discrepancies to the Manager Administration.

4. Budgeting and Financial Administration:

· Assist in preparing administrative budgets for various units.

· Monitor and report variances in budget performance.

· Oversee petty cash management and ensure timely bank deposits.

· Coordinate administrative purchases and market collections.

5. Vendor and Stakeholder Coordination:

· Maintain effective relationships with vendors, landlords, and service providers.

· Assist in scrutinizing vendor services and expenses to ensure cost efficiency.

· Coordinate resolution of issues with landlords and vendors as necessary.

6. Facilities Management:

· Oversee the upkeep, maintenance, and repair of civil works, furniture, fixtures, and electrical appliances.

· Monitor utility services, ensuring timely payments for electricity, internet, and other essentials.

7. Government Liaison:

· Support communication with government departments such as the Labor Department, Environmental Protection Agency, and Food Authority.

· Assist in resolving issues or objections raised by regulatory authorities.

8. Training and Development:

· Support training programs for administrative staff, ensuring consistent application of policies and procedures.

· Assist in performance evaluations and succession planning for the administrative team.

· Facilitate communication of updated policies to employees across divisions.

9. Other Responsibilities:

· Execute directives from the Manager Administration, CEOs, and Directors as assigned.

· Ensure proper documentation of all processes in the company’s system (e.g., Folderit).

· Oversee administrative operations during gazetted holidays or peak periods as required.

Qualifications & Skills:

Education:

· Bachelor’s degree in Business Administration or a related field.

Experience:

· 3–5 years of experience in administration, facility management, or compliance roles.

· Experience in vendor coordination and regulatory compliance is preferred.

Technical Skills:

· Proficiency in inventory management systems and asset tracking tools.

Soft Skills:

· Strong organizational, problem-solving, and communication abilities.

Other:

· Knowledge of EOBI, Social Security regulations, and government dealings is a plus.

Job Type: Full-time

Pay: Rs60,000.00 - Rs80,000.00 per month
