Assistant Manager, Donor Relations

The Assistant Manager, Donor Relations will support the development and management of relationships with donors, corporate partners, philanthropic individuals, foundations, and institutional supporters. The role focuses on donor stewardship, reporting, communication, fundraising coordination, and ensuring strong engagement with existing and prospective donors. This position plays a key role in maintaining donor confidence through timely communication, impact reporting, event coordination, and systematic follow-up. Reports to: Senior Manager – Fundraising and Business Development (Donor and Government Relations, Grants, Proposals, and Projects).

RESPONSIBILITIES

Donor Engagement and Relationship Management

· Maintain regular communication with existing donors, partners, and supporters.

· Maintain a donor pipeline and tracker that is updated weekly.

· Develop and implement donor stewardship plans including thank-you notes, periodic updates, and recognition activities.

· Support relationship-building with high-net-worth individuals (HNIs), corporates, CSR teams, trusts, and foundations.

· Maintain donor profiles, communication history, and engagement plans.

· Ensure prompt response to donor queries and information requests.

Donor Reporting and Communications

· Coordinate preparation and submission of donor reports, updates, case studies, and impact briefs.

· Gather data and stories from program teams for donor-facing communication.

· Develop presentations, briefing notes, and donor meeting materials.

· Support preparation of annual reports, fundraising collateral, and donor newsletters.

Fundraising Support

· Assist in identifying new donor prospects and partnership opportunities.

· Support proposal development by coordinating inputs, documents, and background information.

· Track fundraising leads, pledges, and commitments.

· Support donor events, campaigns, and fundraising drives.

Internal Coordination

· Liaise with finance and program teams for utilization reports and impact data.

· Coordinate with communications team for donor visibility and acknowledgment.

· Support senior management in donor meetings and follow-ups.

ANNUAL DELIVERABLES

1. Fundraising and donor pipeline updated weekly.

2. 100% donor acknowledgment letters / thank-you notes sent within 3 working days of receipt.

3. Quarterly donor engagement reports.

4. At least 12 donor update communications annually (including newsletters and reports).

5. Support for 6–8 donor events, visits, or meetings annually.

6. All donor reports submitted on time and in required format.

7. Prospect list of minimum 25 qualified donor leads maintained and updated monthly.

QUALIFICATIONS

· Bachelor’s degree in Business Administration, Communications, Development Studies, Public Health, Social Sciences, or related field, Master’s preferred.

· 3–5 years of experience in donor relations, fundraising support, communications, or partnership management.

· Experience in donor database and pipeline management.

· Experience in healthcare, mental health, NGO, or development sector.

PREFERRED EXPERIENCE

· Familiarity with Karachi corporate CSR landscape and HNIs.

· Experience supporting donor events and campaigns.

· Prior experience in nonprofit healthcare or mental health organizations.

CORE COMPETENCIES

· Ability to design and execute multi-year fundraising and business development strategies aligned with organizational growth goals.

· Proven ability to build and manage a high-value funding pipeline.

· Excellent proposal writing and technical drafting skills for concept notes, grant applications, budgets, and donor reports.

· Strong project planning, implementation oversight, and results management capabilities.

· Ability to identify new growth opportunities, partnerships, and innovative revenue streams.

· Strong market intelligence and opportunity-scanning skills within Pakistan’s donor and CSR ecosystem.

· Strong budgeting, financial forecasting, and grant utilization oversight.

· Excellent verbal, written, and presentation skills.

· Integrity, ability to understand and meet deadlines, and successfully complete tasks.

· Kindness, empathy and understanding towards mental health patients.

· Competency with Microsoft Office Suite and AI.
