An opportunity has arisen for an Assistant Manager - Leasing to join Dubai Holding Asset Management. The main duties and responsibilities of this role:

The role holder is responsible for supporting the Residential Leasing team in business development activities across the residential portfolio for new leases and supporting in the provision of a seamless customer service experience for clients that encourages maximum revenue for the portfolio.

Lead Management and Contract Execution

  • Source prospective tenants and generate new leasing leads and negotiate qualified deals from inception to final execution including submission for review.
  • Assist the residential team in closing sales deals to ensure achievement of revenue targets set for the department and increase occupancy of the portfolio.
  • Prepare proposals for individual and corporate clients for new leases and provide administrative support for registration of clients by coordinating with back-office leasing (AXS) department to ensure preparation of tenancy contracts on time and per terms and conditions to support business opportunities for DHAM.
  • Liaise with the tenant and obtain all the documentation, internal approvals as per approved P&P and DOA and update the leasing system.
  • Complete the checklist and circulate the documents for approvals prior to signing the lease agreement.
  • Develop prospective tenant pipeline in consideration with client profile, financial stability, existing availability of units etc.
  • Liaison with PM and Leasing Manager for approvals of new clients and provide excellent customer service and present full product knowledge to the potential clients and ensure maximum customer satisfaction.

Client Relationship Management

  • Understand and attend to clients’ needs and provide information on the most suitable real estate space, prices and ensure smooth settlement of customer issues and queries to increase customer satisfaction and retention.
  • Develop and maintain relationships with existing and potential customers via meetings, telephone calls, emails and visits to prospect for new business to ensure good clientele database.
  • Act as a point of contact for clients – coordinate for the issuance of tenancy contracts, trade licenses and permits, assist in the timely collections of accounts receivables from partners and liaison to reconcile statements and ensure accuracy of billing to provide efficient customer service.

Data Management and Market Research

  • Maintain all sales and customer related document as per internal guidelines to ensure ease of retrieval as required. Attend all leases leads generated and prepare the report analysis for Lead generation.
  • Check RERA indicator rate and conduct market rent survey to analyse the rent rates for neighbouring properties.
  • Gather and analyse market data by using various methods such as social media, telephone, direct mail or face to face customer studies.
  • Scan the local markets and update the management to gain a clear understanding of the market.

Reporting and other support

  • Prepare and submit monthly reports – call reports, lead generation reports, contract receipt reports, occupancy vs vacancy report, monthly discount and offers report.
  • Provide support on leasing systems to all departmental individuals and coordinate automation activities with respective departments.
  • Attend leads generated via Lead generation system committing to the KPI and timeframe given without any fail.
  • Coordinate with PM team to ensure Re-instatement of Units, by selecting vacant units to be re-instated on monthly basis as required and make it ready for viewing and move in.
