Associate Manager - Admin (Executive Secretary)

About the Role

The Associate Manager – Admin (Executive Secretary) provides high-level administrative and executive support to senior leadership, ensuring smooth office operations and effective communication. This role demands professionalism, confidentiality, and strong organizational skills to manage priorities and streamline executive functions.


Responsibilities


  • Provide executive-level secretarial and administrative support to the Management.
  • Manage daily calendars, schedule meetings, and ensure timely communication and follow-ups.
  • Draft, review, and maintain official correspondence, reports, and presentations.
  • Handle confidential information and documents with integrity and discretion.
  • Coordinate travel arrangements, visas, accommodation, and event logistics for executives.
  • Supervise overall office administration, including facilities, supplies, and vendor management.
  • Prepare minutes of meetings, track action points, and ensure timely completion.
  • Act as a liaison between senior management, internal teams, and external stakeholders.
  • Assist in budget monitoring, expense control, and implementation of administrative policies.
  • Drive process improvements, ensuring efficient operations and professional standards.



Qualifications

  • Bachelor’s degree in Business Administration, Management, (Master’s degree preferred).


Skills & Competencies


  • 4-5 years of progressive experience in administration, executive support, or secretarial roles.
  • Excellent written and verbal communication in English and Urdu; ability to draft professional correspondence.
  • Strong multitasking, scheduling, and time management capabilities to handle multiple priorities.
  • Advanced knowledge of MS Office Suite (Word, Excel, PowerPoint, Outlook) and digital collaboration tools.
  • High level of professional discretion in handling sensitive and confidential information.
  • Strong coordination, networking, and stakeholder management abilities.
  • Ability to anticipate issues, propose solutions, and support decision-making.
