We are seeking a proactive and detail-oriented Bid Coordinator to manage the full proposal lifecycle — from lead intake to final submission and follow-up. This role plays a critical part in securing new projects by ensuring that technical, commercial, and design proposals are accurately prepared, professionally compiled, and submitted on time.

The ideal candidate will act as the central coordination point between internal departments and clients throughout the bidding process.

Key Responsibilities

• Manage and track incoming leads and enquiries through CRM and internal trackers.
• Communicate with clients to gather project details, timelines, and requirements.
• Organize and lead proposal kick-off meetings with internal stakeholders.
• Coordinate with estimation, design, and project teams to prepare technical and commercial proposals.
• Compile complete proposal packages and secure necessary internal approvals prior to submission.
• Submit proposals in line with client requirements and deadlines.
• Manage client follow-ups, RFIs, and clarification requests in coordination with internal teams.
• Maintain accurate records of all proposals, revisions, and communications.
• Upon project award, distribute finalized documentation to the assigned project team.

Requirements

• Bachelor’s degree in Business Administration, Project Management, or related field.
• 2–4 years of experience in bid coordination, proposal management, or a similar role.
• Experience in interior fit-out, construction, or related industry is preferred.
• Strong organizational and time-management skills.
• Excellent written and verbal communication skills.
• Ability to manage multiple deadlines in a fast-paced environment.
• High attention to detail and strong coordination abilities.
