Responsibilities and duties:

Create and update inquiry/quotation log, order intake registers and job file.

Ensure Bill of Quantity (BOQ) Request Forms are filled by Sales Engineers/Manager and create request via electronic mail to Estimation.

Prepare quotations based on the received BOQ or as per the details provided by the Sales Engineers/Manager with minimal supervision.

Prepare the initial, revision and variation order confirmations (OCs) and ensure correct details to follow based on related documents provided (Approved Quotation, PO, Contract) with the directive of Sales Engineers/Manager.

Ensure related Customer Information Forms are properly filled, signed and stamped by clients.

Ensure PRN to be raised if required with the instruction of Sales Manager.

Generate Sales Reports as may be requested by the Sales Manager and ensure submission on time.

Relay Customer Concerns/Clarifications to the Sales Engineers/Manager and ensure appropriate action and subject closed.

Create and update client data base.

Receive telephone calls from client on behalf of Sales Engineers/Manager if not available. Ensure to relay information as soon as possible.

Perform data entry, printing, binding, and filing duties.

Prepare documentation, letters, and submittals as per instruction.

Maintain proper records and tracking of sales documents.

Inform client of the services and product information with the instruction of Sales Manager.

Follow up on the status of quotations sent with clients as per directive of Sales Manager.

Assist on other tasks required/assigned by Sales Manager.

Ensure that HSE policies and procedures are being followed and implemented.

Maintain company's interest and objectives when dealing with Clients and third parties.

Perform other tasks assigned by the Direct Line Manager.
Qualifications:

Secondary School Certificate/ Diploma, or equivalent
-
Experience in administrative support role for at least 4 years
Years of Experience:
-
Minimum 4 years of work experience as supporting sales or marketing staff.
