Overview
We are seeking a dynamic and detail-oriented Bid Specialist to join our team and drive our proposal and contract efforts. In this role, you will be instrumental in managing the end-to-end bidding process, ensuring compliance with procurement standards, and fostering strong vendor relationships. Your expertise will help secure new business opportunities, streamline document management, and support strategic growth initiatives. Responsibilities
- Lead the preparation and submission of competitive bids, proposals, and tenders across various sectors, ensuring accuracy and adherence to client requirements.
- Manage vendor relationships by evaluating proposals, negotiating terms, and maintaining effective communication throughout the procurement lifecycle.
- Oversee document management processes, including contract review, approval workflows, and record keeping using systems like Salesforce, DocuSign, ERP platforms such as PeopleSoft or similar tools.
- Ensure compliance with legal standards such as UCC law (Uniform Commercial Code), Federal Acquisition Regulations (FAR), and other relevant legal frameworks during contract negotiations and documentation review.
- Collaborate with cross-functional teams—including legal, finance, and business development—to develop strategic proposals that align with organizational goals.
- Conduct research on market trends, pricing strategies, and competitive intelligence to inform bid strategies and improve win rates.
- Support change management initiatives related to procurement processes and contract management systems to optimize efficiency and compliance.
Experience
- Proven experience in procurement, vendor management, or contract negotiation within a corporate or government setting.
- Strong background in legal drafting, document review, and contract management—familiarity with UCC law, FAR regulations, and intellectual property law is highly desirable.
- Demonstrated ability to manage multiple projects simultaneously while maintaining attention to detail in document management systems like Salesforce or PeopleSoft.
- Excellent negotiation skills coupled with strategic planning capabilities to secure favorable terms and foster long-term vendor relationships.
- Experience with proposal writing, technical writing, pricing strategies, and business development activities.
- Familiarity with ERP systems such as PeopleSoft or similar platforms for purchasing and records management is preferred.
- Ability to adapt quickly to changing priorities within a fast-paced environment while maintaining compliance standards.
