Bids & Tenders Specialist "Remotely to KSA"

Cairo, Egypt

Key Responsibilities:

  • Monitor KSA tender portals and publications (e.g. NUPCO, MOH procurement sites) for upcoming tenders in Jana’s product categories.
  • Prepare tender documents and proposals: gather all required paperwork (vendor registrations, past performance, compliance certificates, product technical specs, etc.), working with Product/Clinical for technical write-ups and Compliance for regulatory documents.
  • Coordinate internal tender approvals – ensure Pricing provides approved pricing for the bid, management signs off on terms, and any bid bonds or guarantees are arranged with Finance.
  • Submit bids electronically or physically as required, on-time, and follow up on clarifications or post-submission requirements.
  • Maintain a repository of standard bid content (e.g. company profile, financial statements, licenses) for quick assembly of future tenders. Continuously improve proposal quality and completeness.
  • After results, obtain and document tender feedback or reasons for loss, and recommend improvements (with Pricing and BD) to increase future success.

Interfaces:

  • Internal: Collaborates with Business Development (for deal strategy and client intel), Pricing (for setting tender pricing strategy within margin targets), Product Management (for product specs, compliance of proposed products to tender specs), Finance (for bid bonds, financial statements), and Compliance (to ensure all regulatory and legal documents are included and ethical practices in tendering).
  • External: Interfaces with tendering authorities in KSA (e.g. NUPCO tender officers, government e-procurement platforms), possibly with hospital tender committees, and coordinates with any local KSA partner who may need to be involved in bid submission.
  • Decision Rights: Can decide on tender document compilation and format, and has authority to submit bids on behalf of the company. Can make judgments on bid/no-bid recommendations based on tender feasibility (though final decision might involve BD/management). Not authorized to deviate from approved pricing or terms without approval, but can decide minor clarifications to respond to tender queries.

Required Qualifications:

  • 3+ years experience in bids/tender management, preferably in healthcare or medical supplies domain.
  • Familiarity with KSA tender laws and portals.
  • Detail-oriented with excellent organizational skills to manage complex documentation.
  • Bachelor’s degree in Business, Engineering, or related field.
  • Fluent in English; Arabic proficiency is a strong plus (for reading tender docs and communication).
