Job Summary:
As WCS's Board Administrator, you will play a vital role supporting the Office of the President and Trustees in all aspects of Board operations and administration, working in close collaboration with departments across the organization, including Development, Finance, and the Office of General Counsel.

people skills and a talent for building successful working relationships with multiple stakeholders, and the ability

Major Responsibilities:
  • Support the Office of the President, Trustees, committee chairs, and their administrative teams in all aspects of Board operations and administration. Coordinate with the Office of the President on handling trustee inquiries and requests.
  • Build and maintain strong working relationships at all levels of the organization; partner with Development, Finance, Office of General Counsel, Programs, and other departments to ensure seamless communication, alignment, and execution of Board- and committee-related matters.
  • Schedule, plan, and provide notices for Board and committee meetings.
  • In collaboration with relevant stakeholders, draft, edit, format, assemble, and distribute Board and committee meeting materials including agendas, minutes, resolutions, presentations; track RSVPs and attendance; attend board and committee meetings; record minutes; follow up on action items.
  • Manage logistics for Board and committee meetings, dinners, and other activities, with support from the Development Events team.
  • Maintain accurate, up-to-date Board member records (bios, contact information, tenure, terms, committee memberships, engagement, and other relevant information), in collaboration with the Development team.
  • Track, maintain, and archive board and committee presentations, materials, and information, ensuring security of confidential information and accuracy of data; provide information and analysis as requested.
  • Manage the Board budget, with support from the Development Operations team.
  • Coordinate with the Office of General Counsel and the Department of Public Affairs on responding to internal and external requests for Board-related information.
  • Continuously improve support for the Board and the Office of the President, and execute additional projects and responsibilities as assigned.

Qualification Requirements

  • Bachelor’s degree
  • 5-10 years of relevant work experience, such as supporting boards, executives, or senior leadership
  • Superior project management skills; highly detail oriented; able to meet tight deadlines and
collaborate with multiple stakeholders in a complex, fast-paced organization— with patience, poise,
and accuracy
  • Excellent verbal and written communication skills
  • Dedication to providing excellent support and service
  • Good judgment; demonstrated ability to handle confidential information with discretion
  • Strong interpersonal skills; cooperative, collegial, good sense of humor; commitment to showing
complete discretion concerning sensitive and confidential matters is a must
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook), Zoom, and CRM platforms
(Salesforce preferred)
  • Experience working on, or with, a Development team is a plus
  • Ability to work outside regular business hours as needed for board meetings and events
