The role of Bookkeeper has specific tasks and goals as outlined below, these goals and tasks will change and/or be refined over time, developing, and evolving in a continuous pursuit of improvement.
The priority of this position is to successfully support the efficient operations of the Financial Department in such a way as to achieve:
1. Positive working atmosphere within your team.
2. Stated Key Performance Indicators.
Included specifically as the core tasks of this position are:
1. Monthly account reconciliation
a. Credit Cards
b. Bank Accounts
c. Fleet Cards
d. Vendor Statements
2. Accounts Receivables
a. Receive and apply customer payments
3. Vendor account establishment and maintenance
a. W9
b. 1099 Reporting
c. Certificate of Insurance
d. Subcontractor Agreements
4. Accounts Payable
a. Ensure all Subcontractor paperwork has been received prior to setting up vendor in QuickBooks
b. Invoice Receiving, Distribution, and Coding
a. Verify invoice prices are accurate and match purchase order and receiving report
b. Verify product has been received through matching invoice to receiving report
c. Verify sales tax, if applicable, is accurate
d. Verify freight charges, if applicable, are accurate
c. Check Runs & Distribution
5. Office Administrative Duties to include:
a. Maintain and replenish office supplies
b. Maintain and replenish kitchen supplies
c. Manage IT maintenance
d. Incoming and outgoing mail and common courier
e. Incoming phone overflow
f. Office 365 account maintenance & Lothorian group distribution.
g. General office clerical support
The Key Performance Indicators for this Role are:
1. Reconciliations need to be completed by 7th of each month.
2. Accounts payable entered within 72 hours of receipt.
3. Yearend vendor 1099 reporting complete by January 30th.
Requirements for Role:
1. Experience using QuickBooks
2. Detail Oriented
3. Good verbal and written communication skills
4. Experience in high volume, fast paced environment
5. Excellent with follow up
6. Experience with ServiceTitan a plus but not required
The Bookkeeper reports directly to the Director of Finance.
The schedule for this position will be:
1. Full time as defined as 8:00 a.m. to 4:00 p.m.
In season will demand extra time, season defined as March 15th through October 15th.
