Bookkeeper/Administrative Assistant

Responsibilities

  • Manage day-to-day bookkeeping tasks using Puzzle and Jobber, including invoicing, expense tracking, and bank reconciliations
  • Handle front desk duties such as greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
  • Maintain organized filing systems for financial documents, client records, and office supplies
  • Support office management by coordinating calendar appointments, scheduling meetings, and managing calendar updates
  • Perform data entry with high accuracy for billing, payroll, and other administrative records
  • Provide excellent customer support through timely responses to inquiries via phone or email
  • Assist with proofreading documents and correspondence to ensure clarity and professionalism

Requirements

  • Proven experience in office management or administrative roles with clerical experience
  • Strong computer skills including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Hands-on experience with QuickBooks or similar accounting software; bookkeeping experience is essential
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are a plus to support diverse client interactions
  • Knowledge of front desk procedures, multi-line phone systems, and office etiquette
  • Demonstrated attention to detail in proofreading and data entry tasks
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required
