About The Role:
Monkedia is seeking a highly organized, detail-oriented, and proactive Business Administrator to support financial operations, administrative processes, and cross-functional coordination. This role is critical in ensuring the company’s financial health, operational efficiency, and seamless collaboration across internal teams and external partners.
Key expectation and a non-negotiable factor is that the ideal candidate works full-time during US onshore core hours (CST) and ensures online availability the entire time for effective communication.
This position is ideal for someone who thrives in a fast-paced, high-pressure environment, excels at problem-solving through data, and enjoys balancing analytical rigor with hands-on execution. You will play a key role in managing core financial functions, supporting leadership with insights, and ensuring alignment across teams to drive business performance. Success in this role requires strong ownership, adaptability, and the ability to manage multiple priorities while maintaining accuracy and meeting deadlines.
Key Responsibilities:
- Manage day-to-day bookkeeping and financial records using QuickBooks with a high degree of accuracy
- Generate, send, and track invoices; oversee accounts receivable and lead collection efforts
- Work closely with CPA, legal counsel, and collection agencies to resolve financial matters and ensure compliance
- Prepare and maintain financial reports, dashboards, and analyses using Microsoft Office Suite and other tools
- Run payroll and ensure all payroll-related processes are accurate and compliant
- Coordinate and collaborate with internal teams to gather, organize, and communicate critical business information
- Partner with third-party vendors and agencies (recruiting, benefits, etc.) to negotiate pricing and manage contracts
- Conduct calls and meetings with clients, vendors, or partners to resolve billing or operational issues
- Support leadership with financial insights, reporting, and operational recommendations
- Maintain organized documentation and ensure proper record-keeping across all administrative and financial functions
- Operate effectively in a high-pressure, deadline-driven environment while maintaining attention to detail
Qualifications:
Required:
- 5+ years of experience in bookkeeping, business administration, or financial operations
- Advanced proficiency in QuickBooks and strong accounting fundamentals
- Experience managing invoicing, AR, and collections processes
- Hands-on experience working with CPAs, legal teams, and/or collection agencies
- Strong financial reporting and data analysis skills using Microsoft Excel and related tools
- Strong working knowledge and experience with Google workspace and Drive tools
- Experience running payroll and understanding payroll compliance requirements
- Excellent verbal and written English communication skills
- Proven ability to multitask and perform in a fast-paced, high-pressure, matrixed environment
- Strong problem-solving, analytical thinking, and attention to detail
- Ability to take initiative, ownership, and accountability for results
Preferred:
- Experience in a digital marketing agency or similar fast-growth environment
- Familiarity with financial forecasting and budgeting processes
- Experience negotiating vendor contracts and managing third-party relationships
- Experience with Rippling, Teamwork Space, Slack, Banking systems
- Knowledge of how to read tax returns, financial statements, AI automation tools
