Slam Academy is a Minneapolis-based music production school and community dedicated to empowering artists, producers, and creators at every level. We are looking for a detail-oriented and dependable Business Administrator to join our team and help keep Slam Academy's financial operations running smoothly behind the scenes.

In this part-time, hybrid role you will support day-to-day bookkeeping, payroll processing, and membership billing functions under the direction of our CEO. You will play a key role in maintaining the financial integrity of our operations, ensuring our team gets paid accurately and on time, and keeping our member accounts organized and up to date.

Responsibilities:

Slam Academy is hiring for a Part-Time Business Administrator, based in Minnesota with the ability to work remotely. Occasional on-site availability at our Minneapolis studios may be required as directed by leadership.

Hours: 25 hours per week, flexible scheduling around payroll cycles and billing deadlines.

Employment Type: Part-Time, Non-Benefited Position

Duties include:

  • Processes payroll accurately and on schedule in accordance with Slam Academy's payroll practices and applicable state wage and hour law, ensuring all employee compensation, deductions, and withholdings are processed correctly.
  • Coordinates with leadership to ensure payroll changes including new hires, terminations, and compensation adjustments are processed accurately and on time.
  • Responds to employee payroll inquiries promptly and professionally.
  • Processes payments to independent contractors in accordance with approved contractor agreements and Slam Academy's payment schedules upon receipt of submitted invoices.
  • Prepares and organizes relevant tax documentation and filings including payroll tax reports, W-2s, and 1099s, and submits to leadership or designated tax professionals for review and approval in a timely manner.
  • Manages accounts payable, ensuring all invoices and expenses are accurately recorded and submitted to leadership for approval in a timely manner.
  • Maintains accurate and up-to-date financial records and reconciles all financial transactions on a regular basis using QuickBooks or equivalent accounting software.
  • Prepares light financial reports and summaries for leadership review as directed by the CEO.
  • Manages Slam Academy's CRM and membership billing system, ensuring all member accounts are accurately maintained, reconciled, and up to date, and resolves missed, failed, or past-due payments in a timely manner.
  • Responds to member billing inquiries in a timely and professional manner, including inquiries regarding membership fees, account status, cancellations, and payment discrepancies, and escalates unresolved issues to leadership as appropriate.
  • Maintains employee scheduling records and reviews, verifies, and rectifies timesheets prior to each payroll cycle, coordinating with employees and leadership to resolve discrepancies in a timely manner.
  • Performs other administrative and compliance support tasks as directed by the CEO, including tracking license renewals and assisting with special financial projects as assigned.

Qualifications

  • Associate's degree in Accounting, Business, or a related field required. Bachelor's degree preferred, or equivalent combination of education and experience.
  • Minimum 2 years of experience in bookkeeping, accounting, payroll processing, or a related financial role preferred; equivalent combination of education and experience will be considered.
  • Proficiency in QuickBooks or another market standard accounting software required.
  • Proficiency in Microsoft Office Suite, specifically Excel, required.
  • Strong analytical skills and attention to detail with a high degree of accuracy in financial record-keeping.
  • Ability to work independently and manage multiple financial functions simultaneously with minimal direction.
  • Sound judgment, discretion, and the ability to maintain strict confidentiality in the performance of all duties.
  • Excellent verbal and written communication skills with the ability to communicate financial information clearly to non-financial staff and leadership.
  • Must pass pre-employment background screening(s).

Pay: $25.00 - $30.00 per hour
