Business Operations Lead

About Us:

Fueling Brains Training Institute LLC is a purpose-driven startup focused on early childhood brain development and skill-building. We are on a mission to revolutionize how children learn, grow, and thrive using science-backed methods. As we expand our operations globally, we are looking for a hands-on, multi-skilled Business Operations Lead to support business functions, work directly with the CEO, and help manage day-to-day and strategic activities across functions from our Dubai hub.


Location : Dubai, UAE

Company : Fueling Brains Training Institute LLC

Salary Range : AED 5,000 – AED 6,000 per month

Experience : 6–10 Years


Key Responsibilities:

1. Office Administration & General Operations

· Oversee daily office administration, facilities, supplies, and internal processes.

· Ensure smooth coordination across departments and vendors for operational needs.

· Maintain documentation, task trackers, and workflow discipline.


2. Business Development & Research

· Conduct market research, competitor analysis, and industry studies relevant to the early childhood education sector.

· Present insights in structured formats like reports and business briefs.

· Support management in identifying growth opportunities and partnerships.


3. People Operations

· Manage onboarding and offboarding in coordination with HR and payroll teams.

· Assist with employee documentation, visa processing, medical appointments, and compliance.

· Ensure accurate monthly payroll input coordination with Finance/HR.


4. Executive Support to CEO

· Provide direct support to the CEO for calendar management, meetings, follow-ups, and project tracking.

· Attend key meetings and ensure outcomes are actioned across teams.

· Act as a reliable extension of the CEO for critical coordination matters.


5. AI Tools, Reporting & Automation

· Use modern AI tools such as ChatGPT, Gemini, Notion AI to automate internal documentation, SOPs, business reports, and communications.

· Prepare dashboards and trackers to streamline operational decision-making.

· Continuously look for ways to apply AI and tech to improve internal efficiency.


6. Vendor Management & Quality Oversight (for Export Projects)

· Manage vendors for joinery and other outsourced projects executed in Dubai and exported to North America.

· Ensure quality checks, timeline adherence, and logistics coordination.

· Coordinate with travel, logistics, administrative, and operational vendors to support business continuity.


7. Training Team & Coach Coordination

· Serve as a key liaison between the training team and child brain development coaches to ensure operational alignment.

· Support scheduling, travel, content distribution, and logistical arrangements for training programs.

· Ensure all backend support is in place for effective delivery of programs and workshops led by the coaches.


What We’re Looking For:

· Bachelor's degree in Business Administration or related field.

· 6–10 years of cross-functional experience in business operations, executive support, vendor coordination, or education/training management.

· Excellent verbal and written English communication.

· Strong interpersonal, follow-up, and multitasking skills.

· Proficient in Google Workspace, Excel, and AI-powered productivity tools.

· Must be a proactive self-starter, solution-oriented, and highly organized.

· Valid UAE driving license is an added advantage.
