Department: Facilities Management

Reports to: Facilities Manager

Location: Dubai, UAE

Job Purpose

The CAFM Administrator is responsible for the overall administration, operation, and maintenance of the Computer-Aided Facilities Management (CAFM) system. You'll ensure the system accurately reflects all facilities management activities, including planned preventive maintenance (PPM), reactive maintenance, and asset management, to support the efficient delivery of services and meet client needs.

Key Responsibilities

* CAFM System Management: Administer the CAFM system, including user account management, permissions, and security. Act as the primary point of contact and technical lead for all CAFM-related issues, providing user support and training.

* Data Entry and Integrity: Maintain accurate and up-to-date asset data, planned maintenance schedules, and work order information within the system. Ensure data is correctly entered, stored, and managed to the highest standards.

* Work Order Coordination: Create, issue, and track both PPM and reactive maintenance work orders for in-house staff and subcontractors. Follow up on work orders to ensure timely completion and closure.

* Reporting and Analysis: Generate standard and ad-hoc reports to monitor key performance indicators (KPIs), track maintenance progress, and analyze performance data. Provide insights to the facilities management team for continuous improvement.

* Communication & Liaison: Liaise with clients, subcontractors, and internal departments (e.g., Helpdesk) to ensure effective communication and coordination of tasks.

* System Upgrades & Improvements: Work with the CAFM provider and internal IT teams to coordinate system updates, functional changes, and new features.

Qualifications & Skills

* Education: Bachelor's degree in a relevant field.

* Experience: A minimum of 2 years of experience in an administrative role, preferably within the facilities management industry, with hands-on experience using a CAFM or CMMS (Computerized Maintenance Management System).

* Technical Skills: Proficiency in using CAFM software is essential. Strong command of Microsoft Office Suite, especially Excel, for data analysis and reporting.

* Personal Attributes: Excellent organizational skills with a keen eye for detail and a data-driven mindset. Strong communication and interpersonal skills, capable of working collaboratively in a fast-paced environment.

Job Type: Full-time

Pay: AED6,000.00 - AED8,000.00 per month
