Our school has two beautiful campuses: Preschool through grade 5 in Los Altos and a few miles away in Mountain View are grades 6-12. Position Overview
We are seeking a warm, organized, and proactive full-time
Campus and Front Desk Manager
to serve as the first point of contact for our Los Altos campus community. This role is essential in creating a welcoming environment for students, families, staff, and visitors while ensuring the smooth day-to-day administrative and operational functions of the campus.
The ideal candidate is highly organized, calm under pressure, and enjoys working in a dynamic school environment with children, parents, and faculty. This is an on-site position and the hours are
:
8 am - 4 pm Monday - Friday year round.
Key Responsibilities
Front Desk & Community Engagement

Serve as the primary point of contact for visitors, parents, students, and vendors.

Answer and route phone calls and manage front desk communications.

Provide assistance to faculty, parents, and students as needed.

Manage campus-wide communications with families and staff.
-
Maintain a welcoming and professional campus environment.
Administrative & Office Operations
-
Manage student and staff attendance records and communicate with families regarding absences, tardiness, and early dismissals.
-
Coordinate annual Back-to-School administrative processes, including forms, documentation, and parent communications.
-
Maintain health, student, and administrative databases. Familiarity with systems like Ravenna and Veracross is a plus.

Manage mail, packages, and document distribution.
-
Order office and school supplies and oversee shared office resources.
-
Manage credit card purchases and assist with monthly reconciliation.
-
Assist with Accounts Payable as requested in bill.com system.

Maintain campus event calendars and coordinate scheduling logistics.

Support digital platforms for event registrations and payments.
-
Additional administrative tasks as needed
Student Health & Safety
-
Provide basic first aid for students when needed (training provided).

Maintain student immunization and health records and ensure compliance.

Manage incident and accident reports.
-
Maintain medication logs and assist with student health needs.

Support emergency preparedness procedures and drills.
Campus Events & Programs
-
Assist with planning and logistics for school events such as open houses, conferences, fairs, and community gatherings.

Coordinate Parent-Teacher conferences logistics and scheduling.

Manage picture day scheduling and coordination with photographers.

Support school traditions and end-of-year events.
-
Manage student lunch distribution and campus event food orders.
Facilities & Campus Operations

Open and close campus facilities daily.

Coordinate maintenance requests with facilities staff.

Maintain emergency supplies and preparedness materials.
-
Assist with fire and earthquake drills and emergency planning.

Oversee organization of shared spaces and campus resources.
Qualifications
-
Bachelor’s degree preferred
-
Experience in office administration or school environments preferred
-
Experience working with children or in educational settings is a plus

Strong organizational and multitasking skills

Excellent interpersonal and customer service abilities

Ability to remain calm and professional in a busy environment

Comfortable managing minor student health needs and administering basic first aid

Proficiency with Google Workspace, Microsoft Word, and digital databases

Benefits And Compensation
Waldorf School of the Peninsula provides medical, dental, and vision coverage for the employee and their dependents. A generous tuition remission benefit is available for children of the employee. Depending on experience, certification and education, the hourly rate for this position is $28 - $30.
