Job Post: Certification Executive

We are looking for a Certification Executive to manage and coordinate certification processes to join our team. The role involves documentation, communication with certification, and ensuring compliance with required standards.

Job Description:

The Certification Executive plays a key role in ensuring the effective implementation and management of the QMS (Quality Management System) in compliance with relevant standards. The primary responsibility is to support the certification and inspection processes, ensuring timely delivery of certificates, proper documentation, and overall adherence to organizational standards and procedures.

Key Roles & Responsibilities:

i. Ensure and maintain impartiality and confidentiality in all inspection activities, ensuring that all operations adhere to ethical standards and regulatory requirements.

ii. Assist in the process of QMS implementation in compliance with the established standard requirements.

iii. Actively support the team in adhering to and implementing standard operating procedures.

iv. Ensure that all tasks and responsibilities are carried out according to the set procedures, ensuring compliance with the relevant standards.

v. Maintain high-quality service by following the organization's established standards and procedures.

vi. Retain soft copies of certificates, checklists, timesheets, and service reports in an organized manner for future reference.

vii. Ensure proper documentation for all jobs assigned by the line manager, ensuring accuracy and timely submission.

viii. Print certificates and release them to the concerned department without delay, ensuring the process is smooth and efficient.

ix. Ensure that all jobs are properly covered by retrievable inspection reports or certificates, maintaining documentation integrity.

x. Follow up with inspectors to address any delays in the submission of certificates or reports, ensuring timely processing.

xi. Report any delays in certificate preparation from inspection engineers to the line manager and quality manager, ensuring timely resolutions.

xii. Immediately notify the Quality Manager if any inspector conducts an inspection without proper authorization, ensuring compliance with internal procedures.

xiii. Ensure that hard copies of certificates and associated documents are handed over to the operations staff for invoicing without delay.

xiv. Responsible for keeping and issuing timesheet books in the absence of the concerned staff, ensuring no disruption in operations.

xv. Report any IT or software issues to operation manager in a timely manner to avoid delays in the certification process.

xvi. Assist in retrieving inspection records during external and internal audits, ensuring compliance and readiness for audits.

i. Train and support new joiners in the Certification Department, ensuring they are equipped with the necessary knowledge and skills.

ii. Perform any other tasks or duties as assigned by the management, contributing to the overall success of the department.

iii. Maintain the top management's commitment to impartiality in all activities, ensuring that inspection processes are fair and unbiased at all times.

iv. Ensure that the assigned engineer's daily updates are entered into the tracker Excel file, and continue to update and maintain the file regularly.

v. The assigned stamps will be their responsibility, and it is essential to ensure that they are not misused by anyone.

vi. Ensure that certificate revisions are completed, with proper email confirmation and within the specified timeframe. Collaborate with the technical department to verify the correctness of technical data and details on the certificates.

Requirements:

  • Bachelor’s degree in a relevant field (preferred)
  • Experience in certification, compliance, or documentation (preferred)
  • Knowledge of ISO or other certification standards is A MUST
  • Strong communication and coordination skills
  • Attention to detail and good organizational skills
  • Proficiency in MS Office (Word, Excel, Email)

Pay: AED3,000.00 - AED4,000.00 per month
