Chair Assistant

The Department of Structural Biology at the University of Pittsburgh School of Medicine is located in Biomedical Science Tower 3. We currently have twelve faculty members working in the fields of cryo-electron microscopy, NMR spectroscopy, X-ray crystallography, and biochemistry. For the Chair's Assistant / Graduate Program Coordinator position the department prefers a candidate with a bachelor's degree, or equivalent work experience in an office setting.

Job Summary

Serves as the primary support to executive level roles and/or departments and acts as liaison and ensures confidentiality of high-level, sensitive information. Manages office workflow. Assists with strategic planning processes and administrative goals and priorities. Prepares budgetary functions and plans special events.

Essential Functions

The Executive Assistant will serve in an administrative/professional capacity as Assistant to the Chair of the Department of Structural Biology. The incumbent will assist the Dept Chair with coordinating and scheduling meetings and organization of large-scale departmental events such as symposia and conferences. The incumbent will draft the Chair's correspondence to academic, corporate, and governmental institutions as well as provide editorial assistance on grant and journal manuscripts, and assist with preparation of grant progress reports and regulatory approvals. The incumbent will be responsible for assisting the Chair with Material Transfer Agreements, Data Use Agreements, and other regulatory processes. The incumbent will coordinate and schedule appointments for department, university, and research related activities, and assist with the Chair's travel arrangements. Incumbent will be involved in faculty recruitment efforts including making travel arrangements for faculty candidates, scheduling interviews/visits with university faculty, and processing travel expense reimbursements for faculty candidates and visiting seminar speakers. The individual will also assist the chair with completion of the annual Faculty Performance Evaluation process. Incumbent will work with minimal supervision on special projects as assigned and provide administrative support to other department faculty and staff as needed. The position requires a resourceful and independent worker with initiative to lead projects. Requires excellent written and oral communication skills and meticulous organization and problem solving skills. The position will also serve as the Program Coordinator for the Molecular Biophysics and Structural Biology Graduate Program. In this role, the incumbent will assist the Program Director with student recruitment, student progress tracking, program seminar scheduling and logistics, and overall program administration.

Physical Effort

Position is mostly sedentary. May be required to take visitors around campus periodically.
