Clinical Affiliations Specialist

The Clinical Affiliations Specialist is responsible for coordinating the development and execution of affiliations and related documents between the College and external partners as it relates to Clinical Rotations. This role ensures timely setup and maintenance of facility and individual preceptor affiliation agreements and service contracts, and coordinates agreement re-negotiations.

The Specialist is responsible for processing Clinical Rotations invoices, educational resource requests, student reimbursements, and filing for a DBA (Doing Business As) as it relates to Clinical Preceptor Agreements. The Specialist also monitors departmental and college-wide compliance with all clinical education regulations and policies.

  • Ability to work collaboratively and cooperatively with diverse units and personalities internally and externally.
  • Demonstrated familiarity with basic contract language, terms, and clauses.
  • Ability to provide high quality customer service; maintain professional communication with faculty, campus administrators and industry representatives by providing regular status updates.
  • Well organized with the ability to set priorities and meet deadlines.
  • Strong organizational and multitasking skills. Proven ability to handle multiple projects and tasks simultaneously.
  • Ability to work independently under pressure and know when to seek support from supervisor.
  • Ability to work collaboratively as part of a team.
  • Strong ability to use a variety of computer programs as needed including Microsoft Office software.
  • Ability to handle detail-oriented assignments with accuracy and consistency, with minimal supervision.
  • Advanced Excel user with the ability to create and manage complex spreadsheets
Required Qualifications
  • Education: Bachelor’s degree.
  • Experience:
    • 2 – 4 years clerical office experience.
    • 2 – 4 years project coordination experience in a large, high volume office setting.
Preferred Qualifications
  • Education: Bachelor’s degree in business administration, Organizational Management, Legal Theory, or related field.
  • Experience: Prior experience with contract management.
Essential Job Duties

Key Responsibilities
Affiliation & Contract Coordination
  • Coordinate the timely setup and maintenance of facility and individual preceptor affiliation agreements for all COMP campus locations.
  • Serve as liaison in the negotiation of contracts and affiliation agreements for rotation sites and individual preceptors.
  • Track contract processes from initiation to renewal and serve as the point of contact for contract-related inquiries.
  • Assist students with affiliation agreement requests and communicate updates on pending agreements.
  • Process and manage independent contracts for external partners. Maintain clear communication with external partners, the Clinical Education department, and the WesternU Legal department during the process.
  • File for a DBA to support business operations under alternate names as needed for individual preceptor affiliation agreements. Maintain clear communication with external partners and the Clinical Education department during the process.

Key Responsibilities
Compliance & Communication
  • Monitor departmental and college-wide compliance with all clinical education regulations and policies, by creating and maintaining a timeline, calendar and database for all compliance related activities and documentation.
  • Maintain clear communication with clinical partners, internal stakeholders, and regulatory bodies and serve as a liaison between the Clinical Education department and offices such as the Registrar, Institutional Research, and Academic Affairs.

Key Responsibilities
Financial & Administrative Support
  • Process Clinical Rotations invoices and educational resource requests for preceptors, hospitals, and independent contractors. Verify accuracy of payments and work with College Operations and internal WesternU departments to ensure timely processing and payment distribution.
  • Monitor the department’s Rotations budget account line(s) in consultation with College Operations. Provide budget updates and reports as requested by department leadership.
  • Maintain databases and external software to track Clinical Rotations invoices and educational resource requests.

Key Responsibilities
Data & Reporting
  • Maintain databases and external software to track hospital affiliations and individual preceptor affiliation agreements for all COMP campus locations.
  • Generate reports for the Clinical Education department and for accreditation purposes.

Special Projects
  • Assist with special projects and cross-train with Credentialing Specialist for overflow support.
