Clinical Staffing Coordinator/Administrative Assistant

At Home Care RN (HCRN), we care for the patients other home health agencies won't. That mission only holds if the right nurse shows up to the right patient at the right time ? every day. That's your job. You are the operational backbone that makes clinical care possible for hundreds of vulnerable patients across Denver. What this role actually is:
This is not a routine scheduling job. You're matching clinical staff ? RNs, LPNs, CNAs, therapists ? to patients based on care plan requirements, staff skills and certifications, geography, availability, and the human dynamics that determine whether a visit goes well or falls apart. You'll field calls from nurses who are sick at 6am, from patients whose needs just changed, and from supervisors who need a solution in ten minutes. The person you're replacing has been here eight years. That tells you something about what we value: people who learn the operation deeply, own it fully, and stay.

What you'll do:
Staffing & scheduling (primary focus)

  • Build and maintain weekly schedules for clinical field staff across all disciplines
  • Match staff to patients accounting for care plan requirements, clinical skills, location, and patient/staff compatibility
  • Respond in real time to call-outs, patient changes, and coverage gaps ? and solve them
  • Verify timesheets and coordinate with payroll

Office operations (cross-trained, shared responsibility)

  • Answer and triage incoming calls including patient referrals and inquiries
  • Greet and support patients, families, employees, and applicants
  • Maintain filing systems, records, office supplies, and equipment inventory
  • Support onboarding orientation for new clinical staff
  • Coordinate meetings, manage office logistics, and assist with project-based work

HCRN cross-trains its back-office team so everyone can support each other. Scheduling is your primary lane ? but you'll know the full operation.

What we need from you:

  • 2+ years in a scheduling, staffing coordination, or administrative role ? healthcare setting strongly preferred
  • Demonstrated ability to manage competing priorities under time pressure without losing composure
  • Strong interpersonal skills: you communicate directly, diplomatically, and professionally with clinical staff, patients, and families
  • High comfort with technology: EMR or scheduling software, Microsoft Office, multi-line phones
  • Self-directed ? you don't need to be told twice, and you notice problems before they're pointed out
  • Discretion: you'll handle confidential patient and employee information daily
  • You don't need a clinical license. You do need to understand and respect clinical context ? why a wound care nurse can't be swapped for a generalist, why a patient's preferences about their caregiver matter, and why a schedule change at 7am ripples through an entire day of patient care.
