<Job Overview>
We are seeking a disciplined, self motivated, and proactive Community Manager to manage the affairs of the Clearwater Farms Unit 1 Board of Directors. In this role, you will manage the office of the association, serve as the point of contact for all community residents with irrigation, billing, and general help questions, point of contact for hired vendors, book keeper, and general secretary for the needs of the association. This is a 1099 position.

Additional details of duties are listed below and not limited to:

1. Answer/monitor community phone: including 24-hour irrigation emergency calls. (Try to troubleshoot irrigation issues with homeowners before having to involve the Board/Irrigation Committee)

2. Schedules for irrigation each week. This entails: Primary contact person with Maricopa Water District. Contact the Water District to order required hours for each irrigation session. Currently Resa helps with this.

3. Provide and/or coordinate a board member to conduct Irrigation Training and maintain log of members who have completed.

4. Bookkeeping: Maintain record keeping on all bank accounts, post checks, make deposits, and pay bills. Maintain books including journal entries, year-end financials, prepare and file 1099-Misc forms and prepare records for annual tax return. Must be proficient with QuickBooks Online and general bookkeeping practices. Main contact person for Association CPA & tax preparer. Work with Board to prepare annual budget for Board approval and provide it to Members.

5. Prepare & mail annual dues and irrigation invoices, as needed. Follow up with Members on overdue invoices via mail, email and/or phone call in a timely and regular manner until paid and/or a lien is filed.

6. Prepare and file annual water report for the Arizona Department of Water Resource

7. Prepare and mail election packets to all Members for the annual meeting and Board of Director Elections. Election packets consist of a cover letter, notice of annual meeting, an absentee ballot with return envelope, prior year’s annual meeting minutes, and financial statement from previous year. (Organize counting of ballots)

8. Prepare and file the Arizona Corporation Commission annual report.

9. In conjunction with the Board President - coordinate with contractors for road repairs, road grading, ditch repairs, weed spraying, weed discing, and any other misc. item needed within the community. This also involves obtaining quotes from contractors/vendors and sometimes meeting them in-person on the job site.

10. Monthly Board Meeting Preparation: Post required notice of monthly meetings. Prepare agenda, financial reports, and other documents needed to be discussed at the meeting. Attend meetings and take minutes. This also includes closed/executive meetings, as needed. A draft of the minutes will be submitted to the board within 5 working days and posted on the website (DRAFT) form. After monthly meeting, submit final approved minutes on website.

11. This position is the main contact person for Title Companies on all sales of lots within the community and provide requested information/documentation. Research any amounts owed by current property owner & association fees for Title/Closing.

12. Prepare and mail new member packets to new owners entering the community. Set-up accounts within QuickBooks for new members to include subaccounts.

13. Newsletter/Facebook Group Page for Association: Prepare/update and email/mail newsletters to Members, as needed. Update notices on Clearwater Unit 1 Group Page and website.

14. Maintain a master member financial database that includes a list/history of irrigation deposits and balances and association annual dues.

15. Manage all incoming Association mail and email.

16. Assist with Maintaining the Association website and Irrigation Scheduling database

17. Prepare and file liens for unpaid property dues.

18. Maintain knowledge of Association By-Laws, CC&Rs, Rules and applicable County Zoning and Arizona State Statues, as much as possible.

19. General secretarial duties: managing the Association’s correspondence with members, maintaining general file system for Association records, and duties as required by the Board of Directors for the Association. Will involve weekly travel to bank & post office.

20. Organize Annual Meeting & neighborhood potluck. Includes sending member notices, creating list of needed tasks, obtaining all supplies for tasks and potluck. Arrange for location.

21.Clearwater Farms Unit 1 will provide a dedicated Computer/monitor & printer and office supplies budget added into monthly salary.

22. Ensure that required deadlines for notices and documents are posted and/or sent to the community, i.e.: regular meetings, special meetings, annual meetings, election ballots, agendas, candidates for the board.

23.Attend, participate, and document all meetings between the Board and various entities such as Maricopa County, legal counsel, accountant, etc. Coordinate and follow-up on meeting location.

24. Maintain association files including electronic & hard copies of association documents

<Requirements>

Applicant has Experience using Quick Books Online. Customer Service experience involving trouble shooting and problem solving. Knowledge of GAAP rules and guidelines. Applicants have reliable transportation. Familiar with Open Meeting Laws of Board Meetings. Familiar with flood irrigation.

Pay: $1,500.00 - $2,200.00 per month
