DSSW is seeking a detail-oriented and proactive Corporate HR Electronic Records Coordinator to support our Corporate Human Resources Department. This role is vital in ensuring the accuracy, compliance, and integrity of personnel records across the organization. The ideal candidate will be a strong communicator, highly organized, and comfortable working independently and collaboratively in a fast-paced, process-driven environment.

Serve as the primary liaison between assigned office locations and the HR department for personnel records management.

Monitor and follow up on expired employee documents, sending reminders and ensuring timely updates.

Respond to inquiries from employees and office staff regarding personnel records and documentation requirements.

Maintain and update electronic and paper-based personnel files using the company’s HRIS and service management systems.

Conduct routine audits to ensure consistency and accuracy between personnel files and system entries.

Monitor personnel rosters to ensure accurate employment status is reflected.

Ensure all records comply with applicable laws, regulations, and internal policies.

Provide support during internal and external audits, including licensure and compliance reviews.

Maintain strict confidentiality and adhere to all federal, state, and company policies.

Perform other related duties as assigned.

Strong ability to work independently and manage records with minimal supervision.

Excellent organizational and time management skills with a keen attention to detail.

Effective communication skills, both written and verbal.

Strong interpersonal skills, including active listening and professional interaction with diverse stakeholders.

Ability to follow instructions and adapt to changing priorities.

Comfortable working with healthcare professionals, clients, families, and the general public.

Proficient in reading, writing, and communicating in English.

High school diploma or GED required.

Minimum of 2 years of experience in a formal records management setting preferred.

Training in records management is a plus.

Proficiency in Microsoft Office applications, especially Excel.

Experience with online records management tools, scanning/imaging documents, and complex database systems preferred.

Ability to manage sensitive situations and meet deadlines under pressure.

Must be able to type at least 35 WPM with 80% accuracy and demonstrate 80% accuracy in Excel.

Ability to quickly learn and navigate agency-specific software.

Ability to sit for extended periods.

Manual dexterity for keyboard use and document handling.

Clear verbal communication and normal hearing and vision capabilities.

Ability to move about within the office environment.
