We are seeking a highly qualified Corporate Secretary combined with Executive Personal Assistant capabilities to support the Director in both corporate governance and executive-level administration. This role requires an individual with strong business acumen, a required MBA background, and extensive experience working with C-level executives.
The ideal candidate will manage board affairs, prepare corporate documentation, ensure compliance with regulatory requirements, handle confidential communication, and coordinate all executive-level activities including personal tasks. The role demands exceptional communication, advanced organizational skills, and the ability to operate independently in a fast-paced corporate environment.
KEY RESPONSIBILITIES
Corporate Secretary Functions
- Prepare and manage board meeting schedules, notices, agendas, and board packs.
- Record, draft, and maintain minutes of Board and Committee meetings.
- Maintain statutory registers, compliance records, resolutions, and corporate documentation.
- Ensure compliance with company policies, governance requirements, and regulatory filings.
- Prepare corporate reports, resolutions, power of attorney, and legal correspondence as required.
- Liaise with legal counsel, government entities, auditors, and regulatory bodies.
- Support the Director in governance updates, compliance calendars, and board-level communication.
Executive Support & Administration
- Manage and coordinate the Director’s calendar, appointments, meetings, and executive tasks.
- Draft, edit, and review high-level correspondence, executive briefs, reports, and presentations.
- Handle confidential information with absolute discretion and professionalism.
- Conduct research, prepare strategic reports, financial summaries, and corporate documentation.
- Assist with planning, monitoring, and execution of strategic projects and high-level initiatives.
- Provide personal support for private scheduling, travel, and day-to-day arrangements.
Travel & Event Coordination
- Manage international and domestic travel plans including visas, accommodations, and itineraries.
- Plan and coordinate board meetings, corporate events, and executive-level gatherings.
- Liaise with senior stakeholders, VIP delegates, suppliers, and service providers.
Office & Operations Management
- Oversee office operations to ensure smooth administrative and corporate workflow.
- Maintain organized filing systems for corporate documents, records, and confidential material.
- Assist in budget tracking, expense reporting, and office resource management.
- Support onboarding for administrative staff and coordinate internal communication.
Stakeholder Communication
- Act as the primary liaison between the Director, board members, internal departments, and external partners.
- Prepare meeting briefs, follow-ups, and executive summaries for stakeholder alignment.
- Ensure timely communication across departments and maintain structured workflows.
Continuous Improvement & Strategic Initiatives
- Drive governance improvements, document control systems, and executive processes.
- Contribute to corporate communications, leadership sessions, and strategic planning activities.
- Recommend and implement tools, systems, and workflows to enhance corporate and administrative efficiency.
QUALIFICATIONS
Education
- MBA in Business Administration, Management, or Corporate Governance (required).
- Bachelor’s degree in Business, Law, Psychology, Corporate Secretary or related field.
- Certification in corporate governance or secretarial practice is an advantage.
Experience
- Minimum 5+ years supporting C-level executives in multinational or corporate environments.
- Proven experience in corporate secretarial work, governance, compliance, or administrative management.
- Experience managing board-level communication, minutes, and corporate records.
- Strong background in executive support, project coordination, and office administration.
Technical Skills
- High proficiency in MS Office (Excel, Word, PowerPoint, Outlook).
- Experience with board management systems, document control, and corporate governance tools.
- Familiarity with communication platforms such as Teams, Zoom, SharePoint.
- Strong understanding of business, finance, corporate compliance, and organizational processes.
Communication & Language Skills
- Excellent command of English (spoken and written).
- Strong business communication skills for senior-level internal and external interactions.
- Ability to draft professional corporate documents, minutes, and executive correspondence.

Pay: QAR5,000.00 - QAR6,000.00 per month
