The Customer Care Officer (Female) will serve as the first point of contact for students, clients, and prospective trainees of Halcyon Aesthetics Academy. The role requires a professional with prior exposure to Aesthetics, Dermatology, Cosmetic Procedures, or Medical Services, capable of confidently interacting with doctors, assisting in course enrollments, and converting leads into successful admissions or service sales.

The ideal candidate must be customer-centric, well-groomed, articulate, and able to represent the Academy in a highly professional and welcoming manner.

Key Responsibilities

1. Client & Student Handling

  • Serve as the front-line representative for walk-in clients, students, and inquiries.
  • Provide accurate information regarding courses, certifications, training programs, and workshop schedules.
  • Assist trainees in registration, enrollment, and documentation requirements.

2. Lead Management & Sales Conversion

  • Receive, track, and manage all online and walk-in leads.
  • Follow up with prospects through calls, WhatsApp, and email to ensure timely conversion.
  • Maintain CRM records and achieve monthly lead-to-sale conversion targets.
  • Provide timely reports on inquiries, conversions, and follow-ups.

3. Coordination with Doctors & Faculty

  • Coordinate with dermatologists, aesthetic trainers, and medical faculty for class schedules, appointments, and student sessions.
  • Manage training calendars, faculty availability, and student consultation requests.
  • Support doctors during training days by managing client flow and queues.

4. Customer Experience Excellence

  • Ensure a premium, aesthetically pleasing experience aligned with the Halcyon Aesthetics Academy brand.
  • Resolve student/client concerns promptly and escalate issues when required.
  • Maintain front desk discipline, grooming standards, and a positive attitude at all times.

5. Administrative Support

  • Maintain student files, fee receipts, and course documentation.
  • Assist in organizing workshops, seminars, live demonstrations, and certification events.
  • Coordinate with marketing for promotional campaigns, social media content, and student testimonials.

Required Qualifications & Skills

  • Bachelor’s degree (preferably in business, communication, or medical sciences).
  • Minimum 1–2 years of experience in customer service within Aesthetics, Dermatology, Medical Clinics, or Cosmetic Industry.
  • Strong communication and interpersonal skills.
  • Confident in dealing with doctors, trainers, and high-profile clients.
  • Proven ability to convert leads into enrollments or sales.
  • Proficient in MS Office, CRM tools, and professional correspondence.
  • Presentable, well-groomed, and fluent in English & Urdu.

Job Type: Full-time

Pay: Rs40,000.00 - Rs50,000.00 per month
