Job Title: Deputy HR Manager

Department: Human Resources

Location: Pune

Reporting To: HR Head / Manager – HR

Job Summary:

The Deputy HR Manager will assist in planning, organizing, and executing all HR functions, including recruitment, payroll processing, statutory compliance, employee relations, and training & development. The role ensures effective implementation of HR policies, employee satisfaction, and legal compliance across all units/deports.

Key Responsibilities:

  • Recruitment & Onboarding

· Manage end-to-end recruitment for drivers, staff, and other positions.

· Prepare job descriptions, coordinate interviews, and handle offer/joining formalities.

· Conduct induction and orientation programs for all new employees.

  • Payroll Processing

· Collect and validate attendance, leave, overtime, and shift data from all locations.

· Process monthly salaries, deductions (PF, ESIC, PT, LWF, loans, etc.), and reimbursements accurately.

· Generate payslips, salary statements, and coordinate with Finance for salary disbursement.

· Ensure timely submission of statutory challans and payroll-related returns.

· Maintain payroll MIS, audit documents, and employee confidentiality.

  • Statutory Compliance

· Ensure 100% compliance with all statutory obligations – PF, ESIC, PT, LWF, WC, Bonus, Gratuity, etc.

· Maintain compliance records and statutory registers as per labor law.

· Liaise with government departments, consultants, and auditors for inspections or submissions.

· Keep updated with amendments in labor laws and implement necessary policy changes.

  • Employee Relations & Engagement

· Foster a positive and disciplined work culture by addressing grievances effectively.

· Conduct regular meetings with employees and supervisors to resolve workplace issues.

· Plan and execute employee welfare and engagement activities.

· Support HR Head in disciplinary actions and compliance with the Code of Conduct.

  • Training & Development

· Conduct Training Need Identification (TNI) through performance reviews and departmental inputs.

· Prepare and execute the Annual Training Calendar covering technical, soft skills, and compliance programs.

· Coordinate with external agencies (e.g., CIRT, Citilinc, CRUT) and in-house trainers.

· Maintain training records, attendance, and post-training evaluation reports.

· Submit monthly and annual training MIS reports to management.

  • HR Operations & Administration

· Supervise employee attendance, leave, ID cards, and HRIS updates.

· Maintain accurate and updated employee personal files.

· Support in drafting and updating HR policies and standard operating procedures.

· Prepare monthly HR MIS reports (headcount, attrition, new joiners, etc.).

· Coordinate HR activities across all depots/units ensuring uniform policy implementation.

  • Performance Management

· Support in setting KRAs/KPIs and coordinate appraisal processes.

· Facilitate performance review discussions and maintain documentation.

· Identify low-performing areas and recommend development interventions.

  • Qualifications & Experience:

· Graduate / Postgraduate (MBA/PGDM in Human Resources preferred).

· 10–15 years of relevant HR experience (preferably in Transport, Logistics, or Service Industry).

· Strong understanding of HR operations, statutory compliance, and labor laws.

· Proficiency in MS Office and HR/payroll software.
