We also offer comprehensive project and construction management services for tenant improvements in the commercial sector. Position Overview: The Designer, Operations & Project Coordinator will play a critical role in project design, ensuring smooth day-to-day business operations while supporting project coordination, billing, marketing, and client relations. This position is ideal for a proactive and organized individual who thrives in a fast-paced environment and enjoys being exposed to all aspects of a growing business.

Key Responsibilities:

Design

Draft and Prepare Reports required for project submittals including but not

limited to:

  • Hydrology Reports
  • Stormwater Quality Management Reports
  • Water Pollution Control Plans
  • Assist Engineer in preparing Grading, Stormwater, Utility Design

documents

  • Review drawings prepared by others for drawing submittal.
  • Perform light edits, and perform calculations in AutoCAD.
  • Markup plans for CAD Editing in Bluebeam

Proposals & Billing:

  • Assist in drafting and organizing proposals for new projects.
  • Manage monthly billing processes, including invoice preparation and

submission.

  • Create and maintain billing coversheets for tracking project finances.

Project Setup & Coordination:

  • Setup internally for new projects to ensure organization.
  • Interface with clients to facilitate smooth project initiation.
  • Manage retainer amounts, track payments, and confirm receipt of funds.
  • Oversee plan submissions, including in-person and online submittals.
  • Facilitate the running of plans when necessary, ensuring smooth approval

processes.

Customer Service & Client Relations:

  • Conduct regular check-ins with clients to ensure satisfaction and gather

feedback.

  • Coordinate client appreciation efforts, including swag distribution,

luncheons, and other engagement activities.

  • Serve as a primary point of contact for client inquiries and follow-ups.

Marketing & Outreach:

  • Research and identify speaking opportunities for company leadership at

industry events (1-2 per month).

  • Oversee annual swag procurement and distribution.
  • Develop and maintain targeted outreach efforts for architectural firms and

industry partners.

  • Assist in the creation of marketing materials for proposals, presentations,

and promotional efforts.

Administrative & Reporting:

  • Assist in generating reports as needed, ensuring data accuracy and timely

submission.

  • Maintain organized documentation for company operations, billing, and

client communications.

  • Support general business operations, ensuring efficiency and workflow

optimization.

Field Assistance:

  • Field and Site meetings at project sites throughout San Diego metro

region. Obtain measurements, attend as representative of the engineer, take

notes, direct team members.

Qualifications:

  • College Degree in Physical Sciences required, Architecture, Engineering and

Construction preferred.

  • Strong organizational and multitasking abilities.
  • Work at a fast pace with frequent, unscheduled interruptions.
  • Excellent written and verbal communication skills.
  • Experience with billing, invoicing, and client coordination preferred.
  • Ability to manage multiple responsibilities across different areas of the business.
  • Strong problem-solving skills and a proactive attitude.
  • Self reliant, resourceful and can work independently.
  • Proficiency in Microsoft Office (Word, Excel, Teams, Outlook) and project

management tools.

  • Experience in marketing, proposals, or customer engagement is a plus.
  • Responsibilities may require an adjusted work schedule and/or evening and

weekend work may be required as job duties demand.

Compensation:

  • $25-$35/hour
  • Starting part time at approximately 20/hrs per week and will vary based on need.

Monday through Friday afternoons typically from 12pm to 5pm. Eventually would move to full time based on performance and workload.

Job Types: Part-time, Contract

Pay: $25.00 - $35.00 per hour

Expected hours: 20 per week
