Based in Houston, TX, CanCare connects cancer patients, survivors, and caregivers with trained volunteer survivors who truly understand the journey—offering one-on-one emotional support, group programs, and healthcare visits across all 50 states.
ABOUT THE ROLE
CanCare is seeking a detail-oriented, mission-driven professional to provide critical day-to-day administrative and logistical support to CanCare’s fundraising operations.
Reporting to the Assistant Director of Development, the Development Coordinator must enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and community-oriented. The ideal individual will have strong written and verbal communication skills, administrative and organizational skills, and the ability to maintain a realistic balance among multiple priorities.
The ideal candidate will be passionate about the mission of CanCare and the health and well-being of those facing cancer, have strong interpersonal skills, be highly responsive, open-minded, and willing to learn, and will be a self-starter who seeks out opportunities to contribute.
As a hybrid remote/on-site position, this role requires someone who is self-sufficient, proactive in communication, and able to structure their own workday to consistently move projects forward without daily oversight.
KEY JOB RESPONSIBILITIES
CanCare Ambassador
- Become proficient with CanCare and its programs. Be a passionate advocate for CanCare, always maintaining the highest levels of professionalism.
- Represent CanCare’s mission with warmth and authenticity in all donor-facing communications and event interactions
Event Coordination & Logistics
- Coordinate logistics for signature fundraising events, including the annual Marathon, Hope UnCorked Wine Dinner, HOPE Survivorship Luncheon, and Golf Tournament
- Manage event day operations, including setup, registration, volunteer assignments, auction logistics, and troubleshooting
- Create print materials such as menus, signage, testimonials, bidding sheets, and honoree recognition pieces
- Support player/attendee registration, RSVP tracking, and pre-event communications
- Capture event photos and content for real-time and post-event communications
Donor Communications & Stewardship
- Draft personalized thank you letters for the Director’s signature following events and gifts
- Create and send impact updates, donor newsletters (including the AGS Donor Newsletter), and annual giving statements
- Coordinate volunteer thank-a-thon calls to major donors and event supporters
- Process donations and send timely acknowledgments, including same-day receipts during peak giving periods
- Maintain donor files with detailed records of all donor actions, touchpoints, and updated contact information
- Support the delivery of personalized updates and meaningful engagement to priority donors throughout the year
Data Management & Analysis
- Oversee the integrity and accuracy of the donor database (DonorPerfect and Levitate), identifying opportunities for improvement and ensuring adherence to best practices
- Run regular data hygiene reports, clean duplicate records, and correct errors
- Analyze donor data to segment donors by loyalty, capacity, lapsed status, and campaign targeting
- Build and maintain reports tracking year-to-date progress against goals, donor retention, and credit card expirations
- Conduct prospect research and prepare briefing materials for the Director’s cultivation meetings
- Update wealth screening and capacity ratings to support major gift strategy
Marketing & Social Media
- Create and schedule social media content featuring survivor testimonials, mission stories, and donor impact
- Develop promotional content for events, including email blasts, social posts, and website updates
- Live-post during events and create post-event recaps highlighting impact and attendance
- Support National Cancer Survivorship Month programming with weekly content in June
Campaign & Fundraising Support
- Assist with year-end campaign execution, including direct mail appeals, email series, online giving platforms, and Giving Tuesday promotions
- Track daily campaign donations and maintain live revenue dashboards
- Compile annual fundraising metrics and create year-in-review reports for the board and stakeholders
- Prepare materials for the annual audit and reconcile gift records
- Assist with next-year development planning and calendar
Other
- Objectively review success and achievements against agreed targets, identifying strengths, weaknesses, and areas for development
- Attend weekly development team meetings to report on progress and coordinate priorities
- Complete other duties as assigned by the Assistant Director of Development or CEO
QUALIFICATIONS
Required
- 1–3 years of relevant work experience in nonprofit development, fundraising, event coordination, or related administrative role
- Passionate about the mission of CanCare and the health and well-being of cancer survivors
- Exceptional interpersonal skills – personable, likeable, and a good listener
- Strong organizational skills with the capacity to prioritize, meet deadlines, think and act proactively, and maintain progress on objectives
- Excellent written and verbal communication skills with the ability to draft compelling donor correspondence
- Highly responsive and donor/customer service-oriented
- A team player who thrives in a small, collaborative environment
- Open-minded and willing to learn
- Quick to learn new systems and processes
- Proficiency in Microsoft Office Suite, social media platforms, and email marketing tools
- Demonstrated ability to work independently and manage time effectively in a remote/hybrid setting with minimal day-to-day supervision
- Strong self-discipline and personal accountability – able to structure your own workday, set priorities, and consistently meet deadlines without prompting
- Proactive communicator who provides regular updates, flags issues early, and keeps projects moving without waiting to be asked
- Reliable home office setup with strong internet connectivity and a professional, distraction-free workspace
- Comfortable with virtual collaboration tools (Zoom, shared drives, etc.) as primary modes of team communication
Preferred
- Bachelor’s degree in communications, nonprofit management, marketing, or related field
- Proficiency with CRM/donor management software (DonorPerfect experience a plus)
- Experience with Levitate, Canva, or similar design/engagement platforms
- Familiarity with auction platforms and event management tools
- Personal connection to the cancer community or passion for health-related causes
- Bilingual (English/Spanish) is a plus
SCHEDULE & WORK ENVIRONMENT
- Average 15 hours per week with a flexible, hybrid schedule
- Hours may increase to 20–25 hours per week during heavy event season (typically January, March–May, and October–December)
- Hybrid remote/on-site work arrangement with in-person attendance required for events, team meetings, and donor-related activities in the Houston area
- On remote days, responsive communication is expected during agreed-upon core hours; emails and messages should be returned within the same business day
- Must be able to provide own reliable home office environment, computer, and internet access suitable for professional work
COMPENSATION
$20-22 per hour, commensurate with experience. This part-time position offers a flexible schedule and a meaningful opportunity to make a direct impact on the lives of cancer patients and their families.
