District Payroll Specialist

The District Payroll Specialist is responsible for accurately processing and administering the district's payroll and related employee compensation, benefits, and reporting. The Payroll Specialist plays a key role in preparing payroll-related reports, coordinating annual filings, and assisting with audits, contributing to the overall financial and operational efficiency of Falmouth Public Schools. This position requires strong attention to detail, excellent customer service, and the ability to handle confidential information with discretion.

Reports to: Director of Finance and Operations

Position type: Full-Time / Year-Round (Non-Exempt)

Key Responsibilities and Essential Functions

  • Process bi-weekly payroll using School ERP Pro.
  • Review electronic time records to ensure proper payroll for hourly employees.
  • Administer employment contracts and stipends.
  • Preparation, reconciliation and timely filing of all payroll reports including MePers, ACA, etc.
  • Maintain and process payroll-related employee data, including new hires, retirements, separations, benefit deductions, pay rate changes, general ledger allocations, and other compensation-impacting updates.
  • Oversee and manage the financial administration of the district's workers' compensation, FMLA, and unemployment claims and related benefits.
  • Prepare, reconcile and submit payments for payroll benefits and withholding taxes.
  • Assists employees and supervisors with periodic training to ensure proper payroll compliance.
  • Process/input new employee information into School ERP Pro system.
  • Assist with audit preparation as needed.
  • Coordinate and complete all required annual state and federal payroll reporting, including preparation and distribution of W-2s, reconciliation of payroll tax filings, and submission of required reports to applicable government agencies.
  • Communication with employees in a respectful, professional and timely manner.
  • Other duties as assigned.

Knowledge, Skills & Abilities

  • Proficiency with HRIS, applicant tracking systems, and Microsoft Office/Google Workspace.
  • Excellent organizational skills and high attention to detail.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Customer-service-oriented with the ability to support staff professionally and effectively.

Education & Experience & Certifications

  • Associate's degree in Human Resources, Business Administration, or related field required; Bachelor's degree preferred.
  • One to three years of experience in payroll/benefits preferred.
  • Equivalent education and experience may be considered.
  • Continued professional development in payroll regulations and human resource practices is encouraged
  • Maine DOE CHRC fingerprinting required prior to employment with renewal required every five years.

Compensation and Benefits

  • The position offers a pay range of $31.25 to $38.46 per hour, depending on experience.
