Position Overview
The Enrollment & Administration Specialist plays a vital role in managing and coordinating enrollments of individuals, group file feeds, and employer groups into benefit plans and software systems. This role ensures accurate, timely processing of enrollments, eligibility verification, and contributions across products such as HSA, FSA, HRA, VEBA, Dependent Care, ICHRA, and COBRA. Acting as a liaison with clients and brokers, the specialist supports open enrollment and ongoing account maintenance to promote client satisfaction and compliance.
Key Responsibilities
Enrollment Management
· Maintain expertise in enrollment software systems and reporting tools, including COBRA and tax-advantaged accounts.
· Enter and update enrollment data accurately in databases and systems.
· Generate reports on enrollment status, contribution amounts, and election trends.
Eligibility Verification
· Confirm eligibility criteria and validate supporting documentation for applicants.
· Collaborate with internal teams and external agencies to verify enrollment information.
Client Communication & Support
· Provide guidance and clear information to clients, applicants, and brokers about the enrollment process and required documentation.
· Respond promptly to inquiries and resolve applicant concerns.
Data Entry & Record Keeping
· Maintain accurate, up-to-date enrollment records and documentation for client accounts.
· Ensure all client documentation is current and compliant with company standards.
Cross-Department Collaboration
· Work closely with implementation, account management, and customer service teams to support enrollment and client needs.
Compliance & Process Improvement
· Ensure enrollment activities comply with relevant laws, regulations, and company policies.
· Stay informed on regulatory changes and update procedures accordingly.
Issue Resolution
· Address discrepancies and incomplete applications, escalating complex issues when necessary.
· Perform additional duties as assigned by management.
Qualifications & Experience
· 2 to 4 years of experience working with benefits management software or enrollment processing.
· Strong attention to detail with excellent organizational and prioritization skills.
· Self-motivated and eager to learn and grow professionally.
· Excellent oral and written communication abilities.
· Strong customer service orientation and problem-solving skills.
· Ability to work outside of normal business hours as needed.
· Willingness to travel approximately 15%.
· Proficiency in Microsoft Office Suite, especially Excel.
Job Type: Full-time
Pay: $45,000.00 - $50,000.00 per year
