Job Title: Estimator & Quantity Surveyor (Exhibitions & Events)
Location: UAE (field/site visits across emirates)
Employment Type: Full‑time
Experience: 3+ years in exhibitions, events, or temporary structures in the UAE
Driving: Valid UAE driving licence + own car (required)
Role Purpose
Own the full commercial cycle for exhibition stands and event builds—from request for quotation (RFQ) through costing, vendor sourcing, negotiation, award, and post‑event reconciliation—ensuring accuracy, competitiveness, compliance, and on‑time delivery.
Key Responsibilities
Estimating & Costing
- Review briefs, drawings, BOQs, specs, and site constraints; clarify gaps with design/PM.
- Prepare detailed cost estimates (materials, fabrication, carpentry, metal, graphics/printing, AV, electrical, rigging, logistics, labour, contingencies).
- Create and maintain cost models and rate libraries for common stand types and components.
- Issue quotations with clear inclusions/exclusions, validity, and lead times.
Vendor Sourcing, Negotiation & Award
- Identify, pre‑qualify, and maintain a strong network of UAE contractors and suppliers (carpentry, metal, acrylics, graphics, AV/IT, truss/rigging, lighting, flooring, furniture, décor, logistics, on‑site services).
- Obtain and compare like‑for‑like vendor quotes; conduct due diligence (trade licences, HSE compliance, insurance, portfolio, references).
- Negotiate price, payment terms, SLAs, warranties, and delivery schedules; recommend award with a clear comparison sheet.
- Raise POs and track supplier performance; enforce scope, quality, and timeline.
Quantity Surveying & Controls
- Develop BOQs, pricing schedules, and value‑engineering options without compromising design intent.
- Track budgets, variations/VOs, and change orders; keep margin and cost‑to‑complete forecasts updated.
- Prepare commercial reports: cost breakdowns, savings, risks, and final accounts.
- Conduct site visits for measurements, take‑offs, and verification of completed works.
Procurement & Compliance
- Execute end‑to‑end procurement (RFQ → evaluation → award → PO → delivery) in line with company policies.
- Ensure compliance with venue regulations (e.g., rigging, fire‑retardant materials), HSE, and client/organiser requirements.
- Maintain complete documentation: vendor files, approvals, method statements, data sheets, and as‑built costs.
Collaboration & Delivery
- Work closely with design, PM/operations, and client service to confirm deadlines for design, quotation, and client submission.
- Participate in daily huddles and weekly reviews; provide status updates and risk flags.
- Support on‑site during build‑up where commercial presence is required.
Required Qualifications & Experience
- 3+ years as Estimator/QS in exhibitions & events (custom stands, double-deck, pavilions, brand activations) in the UAE.
- Strong network of local contractors and suppliers; proven track record in getting competitive quotes fast.
- Hands‑on knowledge of materials, fabrication methods, and venue/organiser processes (DWTC, ADNEC, Expo City, etc.).
- Proficiency in BOQ, take‑offs, and cost build‑ups; advanced Excel/Sheets.
- Ability to read technical drawings (AutoCAD/SketchUp/Revit familiarity is a plus).
- Valid UAE driving licence and own car (role requires regular site/vendor visits).
- Excellent English communication; Arabic is an advantage.
