Position Overview

We are seeking a dynamic and experienced Event Operations Executive to join our team in Karachi. The ideal candidate will possess hands-on experience in the exhibitions, conferences, and events industry, with a strong understanding of operational workflows, vendor management, and production coordination. This role is best suited for a proactive, tech-savvy professional who thrives in a fast-paced environment, can manage multiple stakeholders, and enjoys working as part of a collaborative team.

Key Responsibilities

1. Operational Planning & Execution

  • Develop and implement comprehensive operational plans for exhibitions, conferences, and commercial events of varying scale.
  • Prepare timelines, floor plans, and logistical frameworks in coordination with internal teams and external partners.
  • Conduct venue inspections, recces, and feasibility assessments to ensure smooth event execution.
  • Coordinate floor markings, booth allocations, temporary workspaces, and operational zones for each event.

2. Vendor & Supplier Coordination

  • Identify, evaluate, and coordinate with a variety of reliable vendors and suppliers in the events industry.
  • Negotiate terms, ensure quality standards, and maintain strong working relationships with service providers (e.g., electrical, carpeting, fabrication, security, catering, signage, AV, etc.).
  • Ensure timely delivery and set-up of all operational elements at the event site.

3. On-Site Event Operations

  • Supervise all operational activities during the build-up, show days, and dismantling phases.
  • Coordinate workforce allocation including labor management, security personnel, and technical teams.
  • Troubleshoot and resolve operational challenges on-site efficiently.
  • Ensure health, safety, and security protocols are implemented and maintained.

4. Documentation & Reporting

  • Prepare and maintain operational documentation, vendor lists, checklists, and progress reports.
  • Support financial tracking of operational expenses, vendor payments, and budget utilization.
  • Conduct post-event evaluations to highlight strengths, gaps, and areas for improvement.

5. Technology & Communication

  • Utilize digital tools and software for operational planning, scheduling, reporting, and team communication.
  • Coordinate with internal departments including sales, marketing, and management for seamless information flow.
  • Contribute to innovation in operational processes through the adoption of new technologies.

Qualifications & Requirements

  • Education: Bachelor’s degree in Event Management, Business Administration, Marketing, or a related field.
  • Experience: Minimum 2 years of relevant working experience in the local exhibitions, conferences, and events industry in Pakistan.

Knowledge:

  • Strong understanding of operational logistics for large-scale events.
  • Familiarity with Karachi’s event infrastructure, venues, and supplier ecosystem.
  • Ability to work on events across the country when required.

Skills:

  • Excellent vendor and stakeholder management.
  • Strong organizational and multitasking abilities.
  • Proficiency in MS Office, Google Workspace, and relevant event planning tools.
  • Effective verbal and written communication in English and Urdu.
  • Team-oriented, proactive, and solution-driven.
