Executive Administrative Assistant

Premium Healthcare Pharmacy is seeking a highly organized and detail-oriented Executive Assistant to support our growing Retail and Compounding Pharmacy. This position plays a key role in supporting executive operations, assisting with bookkeeping functions, and ensuring efficient day-to-day administrative coordination.

The ideal candidate is professional, discreet, and capable of managing multiple priorities in a fast-paced healthcare environment.

Responsibilities

Executive Support

  • Provide direct administrative support to the Pharmacist CEO
  • Manage calendar scheduling, meetings, and executive correspondence
  • Coordinate internal and external communications
  • Prepare reports, documents, and presentations as needed
  • Assist with operational projects and business initiatives

Bookkeeping & Financial Support

  • Assist with bookkeeping tasks including invoice tracking and expense documentation
  • Maintain financial records and assist with account reconciliation
  • Support coordination with accounting and payroll departments
  • Organize financial reports and documentation for review

Operational Support

  • Assist with administrative coordination for retail and compounding pharmacy operations
  • Maintain confidential files and business records
  • Support compliance documentation and regulatory files
  • Coordinate vendor communications and supply ordering

Qualifications

  • Minimum 2–3 years of executive assistant or administrative experience
  • Experience with bookkeeping or financial recordkeeping preferred
  • Strong organizational and time management skills
  • High level of professionalism and discretion with confidential information
  • Proficiency in Microsoft Office, Excel, and general office software
  • Ability to multitask and work independently

Experience working in healthcare, pharmacy, or medical environments is a plus.

Pay: $45,000.00 - $65,000.00 per year
