Executive Administrative Assistant

Pay: $37-45/hr

Schedule: 20hrs per week; 100% onsite- Burlington, MA office

We are seeking a proactive, highly organized Executive Assistant to provide high-level support. This is a strategic partnership role requiring a professional who can anticipate needs, manage complex shifting priorities, and serve as a "gatekeeper" in a fast-paced environment.


Key Responsibilities

  • Complex Calendar Management: Own the executive’s schedule; prioritize meetings, resolve conflicts across time zones, and ensure "buffer time" for high-priority tasks.
  • Communication Gatekeeping: Manage incoming emails and calls; draft correspondence on behalf of the executive with a high degree of discretion.
  • Meeting Coordination: Prepare agendas, take minutes, and track action items for leadership meetings. Handle technical setup for hybrid/Zoom meetings.
  • Travel & Expense: Coordinate end-to-end travel itineraries and manage monthly expense reporting/reimbursements.
  • Project Support: Assist with special projects, such as market research, presentation deck creation (PowerPoint) and event planning.


Qualifications

  • Experience: 3–5 years in an administrative support role, preferably supporting C-Suite or VP-level leaders.
  • Tech Savvy: Advanced proficiency in Microsoft 365, SharePoint, Concur, etc.
  • Discretion: Proven ability to handle confidential information with absolute integrity.
  • Communication: Exceptional written and verbal skills; ability to interface with high-level stakeholders and clients.
