Role Overview


The Executive Assistant / Personal Assistant (EA/PA) will provide high-level, confidential, and proactive support to the Managing Director of a leading financial advisory business. This role requires exceptional organisational skills, professionalism, discretion, and the ability to operate effectively in a fast-paced, international environment. The EA/PA will serve as the primary point of contact for the Managing Director, ensuring smooth day-to-day operations, prioritisation of tasks, and seamless coordination of business and personal commitments.


Key Responsibilities


Executive Support


  • Act as a trusted gatekeeper for the Managing Director, managing diary, appointments, and travel arrangements across multiple time zones.
  • Prepare, review, and edit correspondence, presentations, reports, and board papers to a high professional standard.
  • Ensure the MD is fully briefed and prepared for all meetings, calls, and events.
  • Attend selected meetings, take detailed minutes, and track follow-up actions.
  • Handle highly confidential information with absolute discretion.


Operational & Business Support


  • Coordinate internal and external meetings, including logistics, agendas, and briefing materials.
  • Liaise with senior leadership, clients, and key stakeholders on behalf of the Managing Director.
  • Assist in managing business priorities, deadlines, and project deliverables.
  • Provide support with M&A activity, client events, and strategic initiatives as required.
  • Ensure the MD’s time is optimised to focus on high-value strategic work.


Personal Support


  • Provide assistance with personal administration where required, including family and lifestyle arrangements.
  • Support with travel, events, and other private commitments as directed.


Skills & Attributes


  • Proven experience as an EA/PA at C-suite or senior executive level, ideally within financial services, professional services, or a similar high-pressure environment.
  • Exceptional organisational and time-management skills, with the ability to prioritise and manage multiple tasks under pressure.
  • High level of written and verbal communication skills; ability to draft professional correspondence and documents.
  • Strong interpersonal skills, able to build trusted relationships with senior stakeholders, clients, and colleagues.
  • Discretion, integrity, and the ability to handle sensitive information.
  • Advanced proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, Word) and familiarity with CRM systems (e.g., HubSpot, Salesforce) is desirable.
  • Resilient, proactive, adaptable, and solutions-focused.


Qualifications & Experience


  • Minimum 2+ years’ experience in an EA/PA role supporting senior executives.
  • Experience in financial services or a client-focused, regulated industry preferred.
  • Strong track record of providing both executive and personal support.
  • Degree-level education or equivalent experience is advantageous.
